Why a year-round members app delivers more value than an event app

Members App

Why a year-round members app delivers more value than an event app

Members join associations for community, learning, connection and career support. Yet most engagement still centres around annual conferences and event apps that only come to life for a few days. Once the event is over and the app fades from the home screen, members go back to juggling emails, calendars and the noise of everyday life. The result? Valuable engagement moments are lost, and associations miss a chance to stay connected with members where they are every day.

A year-round members app, always within reach on a member’s phone, acts as a constant reminder of the value their membership brings. Rather than being confined to a few days at an event, your association becomes a daily resource for professional development, connection and industry insight.

Here’s how a year-round members app delivers ongoing value in ways an event app simply can’t match.

Members stay connected beyond the conference

An event app captures attention for a moment, but it doesn’t become part of a member’s daily routine. A membership app lives on the home screen and becomes the place members turn to first when they want to connect, learn or find support. Within the app, members can search a directory to find someone they want to connect with, send messages, coordinate virtual coffees or join discussions that matter to them. Conversations don’t end when a conference does. Instead, the app becomes a centralised hub where members interact with each other and with your association’s staff in one consistent space. When members have a question, need advice or want to share an idea, they tap the app firstnot search through old emails or scroll social media.

Learning happens when members need it

Professional development is a primary reason people join associations, but members don’t always have time to sit through a multi-hour session at a conference. A year-round members app brings learning to them. Members can watch a webinar replay during a lunch break, complete a microlearning activity between meetings or review certification prep materials on the commute home. Instead of waiting to return to the office or sift through desktop portals, learning is always accessible in the palm of their hand. This convenience significantly improves how often members engage with your educational content and how they connect learning directly to the flow of their work.

Members stay informed with curated industry content

Members join associations to stay informed about the trends, challenges and opportunities in their field. A members app enables personalised content delivery tailored to everyone’s interests. Members can select topics they care about, customise their news feed and receive notifications when important updates are published. Whether it’s regulatory changes, research findings, sector news or policy developments, relevant information reaches members in real time. Unlike email newsletters that get buried or ignored, a year-round app keeps content meaningful and visible, helping members feel more informed and more connected to the larger professional community.

Practical tools are always at hand

Professionals need resources that help them do their work better. A member’s app can house templates, checklists, compliance tools, industry standards and publications that members use on the job. Instead of printing documents that quickly go out of date or digging through cloud drives, members access what they need instantly through the app. This kind of real-world usefulness reinforces the value of membership every time a member opens the app to solve a problem or find a resource that assists them in their daily work.

Career support that moves with members

Career growth is a critical motivatorespecially for early-career professionals. A year-round members app can serve as a career centre where members explore job opportunities, set up alerts for positions of interest, access mentoring programmes and browse resources that help with interviews, resumes and professional branding. When members use the app to deepen their skills, plan next steps and find jobs or internships aligned with their goals, your association becomes more than a network, it becomes a partner in their career journey.

A platform that supports ongoing revenue opportunities

Event apps offer sponsor visibility for only a handful of days. A year-round members app, on the other hand, becomes a place where sponsor content, industry guides and partner features add continuous value for members and commerce opportunities for associations. Members show their certifications and achievements from the app, suppliers find new ways to engage with a targeted audience, and associations unlock diversified revenue streams that extend well beyond the event week.

The fundamental difference between an event app and a membership app is simple: an event app serves a short moment. A members app serves a lifetime of professional engagement.

With a year-round app, the association community and its collective resources are available not just for a few days at a conference, but every day in between.

The future of membership is continuous, connected and always within reach. If you’d like to explore what that could look like for your organisation, we’d love to show you.

Hybrid and virtual events

Virtual and Hybrid Events:
The 2026 Strategy Guide

Choosing the right event format: strategy first, format second

The event industry hasn’t just evolved, it has permanently expanded.

Today, organisers aren’t simply choosing between in-person or online. They’re making strategic decisions about reach, engagement, accessibility, ROI and long-term community building. The format you choose should serve your objectives, not the other way around.

At All In The Loop, we specialise in creating powerful event websites and digital experiences that bring virtual and hybrid events to life,  helping brands connect with audiences wherever they are.

Before deciding whether your next event is live, virtual or hybrid, ask:

  • Do you need global reach?

  • Is data and measurable engagement a priority?

  • Are you focused on community building or lead generation?

  • Do you need flexibility for sponsors and partners?

  • Are travel costs or accessibility barriers limiting attendance?

Your answers will determine the right format.

The power of in-person events

Face-to-face experiences remain powerful. Nothing replaces the energy of a live room, the spontaneity of in-person conversations, or the impact of physical presence. For high-value networking, relationship building, immersive brand moments and internal engagement, in-person events continue to deliver meaningful connection.

However, they also come with practical limitations. Travel and accommodation costs can restrict attendance, venue capacity caps your reach, and sustainability expectations are rising. While live events create strong emotional impact, they often provide limited visibility into behavioural data and audience engagement beyond the room.

That’s why many organisations are no longer choosing one format over another, they’re blending them to combine the strength of physical presence with the scale and insight of digital reach.

Virtual events: scale without boundaries

Virtual events remove geographical barriers entirely.

From webinars and online workshops to large-scale virtual conferences, digital-first experiences allow organisations to:

  • Reach global audiences instantly

  • Reduce venue and travel costs

  • Capture detailed engagement analytics

  • Offer on-demand access beyond event day

The challenge? Simply streaming content isn’t enough. Without thoughtful design, virtual events can feel passive and disconnected.

Hybrid events: the strategic advantage

Hybrid events combine physical presence with digital reach, giving attendees the choice of how they participate.

When done well, hybrid events:

  • Extend audience reach beyond the venue

  • Provide engagement parity between live and remote attendees

  • Increase sponsor exposure through digital visibility

  • Generate measurable data across both audiences

  • Create content longevity through on-demand replay

Hybrid isn’t just a livestream add-on. It’s a deliberate strategy that connects in-room energy with global accessibility.

Where AITL comes in

Choosing the right format is only part of the equation. The real differentiator is how seamlessly you deliver it.

At All In The Loop, we create powerful event websites and connected digital platforms that support in-person, virtual and hybrid events,  all under your brand.

We help you:

  • Launch fully branded streaming environments

  • Connect in-person and remote attendees seamlessly

  • Deliver interactive sessions with live Q&A and networking

  • Provide sponsors and exhibitors with measurable exposure

  • Capture meaningful engagement data

  • Extend the life of your event beyond the live dates

Our hybrid and virtual solutions have supported organisations such as Amazon Influencers, CRU, CCIM, EuRA, and many more, helping them scale their events beyond the room while maintaining a polished, professional experience.

The bottom line

The question is no longer “Should we go virtual?”

It’s “How can we design an event experience that maximises reach, engagement and measurable impact?”

Whether you’re planning a global conference, industry summit, association event or corporate gathering, the right digital foundation ensures your event performs, wherever your audience is.

Transforming medical events with AITL

Nearly 80% of healthcare professionals say event apps enhance the value of medical conferences.

Transforming medical events with AITL

Nearly 80% of healthcare professionals say event apps enhance the value of medical conferences.

Supporting compliance, engagement and outcomes in modern medical events

In the medical and healthcare sector, events aren’t just about education, they’re about compliance, collaboration and measurable outcomes. Organisers face unique challenges, ensuring accreditation standards are met, tracking CE or CME credits accurately, managing multi-track scientific agendas and delivering content that’s both credible and accessible. In fact, recent research shows that 78% of healthcare professionals say they prefer a mix of in-person and virtual event formats, underlining the importance of flexible, technology-enabled engagement.

Whether it’s a CME conference, medical congress or clinical symposium, today’s audiences expect a seamless experience that integrates learning, networking and technology.  Event organisers need platforms that can manage complex accreditation workflows, link posters and presentations to sessions, support hybrid participation and provide transparent reporting for sponsors and governing bodies.

In an environment where trust and accuracy are essential, the right event technology doesn’t just streamline logistics, it helps elevate the entire delegate experience while maintaining the highest standards of compliance and professionalism.

That’s where we come in.

Built for the complexity of medical events

Medical events are complex, requiring precision, flexibility and transparency from CE tracking to multi-track scientific agendas.

Having supported leading organizations like the World Health Summit
SEHTA (Science & Engineering Health Technologies Alliance) and major global associations, AITL’s event platform is purpose-built to manage this complexity. It unites registration, accreditation, content delivery and sponsorship management in one connected, compliant and data-driven ecosystem, creating engaging experiences at scale.

Why your medical conference needs an App

Today’s healthcare professionals expect more than just presentations, they expect interactive, digital-first experiences.  According to industry research, medical conference apps consistently rank among the top three most valuable tools for attendees, helping bridge the gap between scientific content and meaningful engagement.

Studies show that nearly 80% of healthcare professionals believe event apps significantly enhance the value of medical conferences and scientific meetings.

In an era of digitally savvy HCPs, a medical event app isn’t just an accessory,  it’s an essential part of delivering engagement, compliance and long-term value for your delegates and sponsors alike.

How AITL empowers organisers to run engaging, compliant and profitable medical events:

CE tracking & accreditation

Easily manage accreditation requirements and automatically track attendees’ continuing education (CE) or CME credits, ensuring full compliance and simplifying reporting for organisers. With built-in verification tools, automated attendance tracking and real-time data insights, AITL makes it easy to meet industry standards and provide accurate, auditable records for accrediting bodies, saving valuable time while maintaining complete confidence in your event’s integrity.

Multi-track agendas

Build dynamic, multi-track schedules that cater to multiple specialties, themes or disciplines, all within a user-friendly, intuitive interface.  AITL makes it easy to manage overlapping sessions, parent-child relationships and agenda changes in real time, ensuring delegates can navigate complex programs effortlessly while staying focused on the content that matters most to them.

Posters and presentations linked to sessions

Enable delegates to access posters, abstracts and session presentations directly from the agenda, creating a connected and data-rich learning journey.  By linking session content and materials in one place, AITL enhances knowledge retention, encourages deeper engagement and allows attendees to revisit key insights long after the event,  turning every session into an ongoing educational resource.

Parent & child sessions

Manage complex scientific programs with ease by grouping related sessions, workshops or symposia under parent tracks, perfect for CME structures and modular learning.  AITL’s flexible agenda management tools allow organisers to build clear hierarchies between sessions, simplify navigation for delegates and ensure that every component of a multi-day or multi-topic event remains structured, accessible and easy to follow.

Sponsorship & revenue opportunities

Maximise sponsor visibility through branded listings, digital booths and detailed analytics that demonstrate real ROI.  AITL transforms sponsorship from simple logo placement into a measurable growth opportunity, enabling targeted exposure, lead generation and performance tracking that help sponsors connect with the right audiences and see the true value of their investment.

Proven in practice with SEHTA

This impact is clearly demonstrated through our work with SEHTA, one of AITL’s  medical event partners.

For SEHTA’s annual healthcare event, AITL powered a smooth and efficient experience for both organizers and attendees. From complex session scheduling to accreditation tracking, the platform handled every detail with precision.

The result? Increased attendee engagement, streamlined sponsor management, and very positive feedback from participants.

Turning complexity into connection

With AITL, organisers can go beyond basic event management, they can streamline registration, track engagement in real time, and access actionable analytics that drive smarter decision-making. From simplifying accreditation tracking and CE/CME credit management to providing seamless integrations with existing systems, AITL ensures every detail is handled with precision.

Unlock the power of event app data with seamless CRM integration

Event apps do more than engage attendees—they generate valuable data that can transform how you plan, manage, and measure the success of your events. By leveraging event app CRM integration, you enable a powerful two-way data flow, providing real-time insights and smarter decision-making for both organisers and exhibitors.

In this post, we’ll explore how event app data can be utilised through CRM integration to streamline workflows, enhance attendee experiences, and deliver measurable results.

1. Understand attendee behaviour

Every interaction within your event app—session check-ins, poll participation, and networking connections—provides insights into attendee preferences. When this data is synced with your CRM, you gain a clear understanding of what attendees value most. This helps tailor future events and improve communication with your audience.

2. Boost exhibitor ROI

Exhibitors often rely on meaningful interactions to justify their investment in an event. With an integrated app, they can capture leads directly, qualify them with notes or custom tags, and export the data instantly to their CRM. This ensures exhibitors can follow up effectively, maximising the potential of each connection.

3. Measure and refine event success

Post-event, your app provides data such as survey responses, session attendance, and engagement rates. By feeding this into your CRM, you can measure your event’s success against KPIs and identify areas for improvement. Trends and insights gathered from these metrics help inform better strategies for future events.

4. Simplify workflow automation

Manual data entry is time-consuming and error-prone. Two-way integration eliminates this issue by automating tasks like syncing attendee registrations, personalised schedules, and survey results. This efficiency saves time for organisers and improves accuracy across your systems.

Conclusion

Integrating your event app with your CRM isn’t just a technical upgrade—it’s a strategic move to optimise your event operations and make data-driven decisions. By leveraging this powerful combination, you can enhance experiences for attendees and exhibitors while driving long-term success.

Driving engagement through in-app surveys and feedback

Collecting event feedback is crucial, but traditional post-event surveys often fall short in capturing the full scope of attendee experiences. In-app surveys and feedback, integrated directly into your event platform, are revolutionising how organisers gather real-time insights, engage attendees, and enhance future events.

Why in-app surveys and feedback matter

In-app surveys offer a seamless way to collect feedback while attendees are actively engaged in your event. By placing surveys within the event platform, you:

  1. Capture real-time insights: Collect feedback during sessions, networking activities, or breaks to ensure fresh and accurate data.
  2. Encourage higher response rates: Attendees are more likely to participate when surveys are accessible and easy to complete.
  3. Improve event engagement: Surveys act as touchpoints, keeping attendees engaged with the app and the event.

Exploring highlights how diversifying feedback methods, such as in-app surveys, can enhance data collection and engagement during events. Similarly, Swapcard emphasises the importance of integrating surveys directly into event apps to ensure higher participation rates and actionable insights.

Boost engagement through gamification

Gamifying your feedback process transforms surveys from a chore into an enjoyable activity. Consider these strategies:

  1. Award points for completion: Reward attendees with points for completing surveys, which they can redeem for prizes or giveaways.
  2. Leaderboard visibility: Display top contributors to incentivise participation and friendly competition.
  3. Incorporate fun elements: Use interactive formats like quizzes or sliders to make feedback collection more engaging.

EventMobi discusses how gamification can significantly increase attendee interaction and participation by turning feedback collection into a fun, competitive activity.

The power of feedback data

Feedback data is invaluable for understanding attendee needs and improving future events. Here’s how leveraging that data can make a difference:

  1. Personalised experiences: Analyse survey responses to identify trends and tailor content for future events.
  2. Real-time adjustments: Act on immediate feedback to resolve issues or adjust schedules during the event.
  3. Data integration: Integrate survey results with your CRM to enrich attendee profiles and improve long-term engagement strategies.

Grip explores how integrating feedback data with other systems enhances event planning and post-event follow-ups, making attendee insights actionable.

How All in the loop can help

At All in the loop, we make it easy to collect and utilise event feedback. Our in-app survey tools include:

  1. Customisable surveys: Design surveys tailored to your event goals and attendee preferences.
  2. Seamless CRM integration: Automatically sync feedback data with your existing systems for a unified view of attendee engagement.
  3. Real-time analytics: Access actionable insights as feedback comes in, empowering you to make data-driven decisions.

By combining feedback collection with gamification and CRM integration, All in the loop ensures that your surveys not only capture insights but also drive meaningful engagement.

Conclusion

In-app surveys are more than just a feedback tool—they’re a way to engage attendees, enhance experiences, and create data-driven strategies for success. By integrating surveys into your event app and leveraging tools like gamification, you can turn feedback into a dynamic part of your event’s journey.

The importance of on-site support in event technology

Planning and executing a successful event requires more than just innovative ideas and effective promotion. The backbone of any event, whether it’s a trade show, conference, or hybrid gathering, is seamless execution—and on-site event support plays a critical role in ensuring everything runs smoothly.

Why on-site support matters

On-site support ensures that your event runs smoothly, addressing technical issues, attendee concerns, and logistical challenges in real time. It provides a safety net for organisers, allowing them to focus on delivering a great experience rather than troubleshooting problems.

  1. Smooth check-in experiences

First impressions matter. Long queues and technical glitches at check-in can frustrate attendees and set the wrong tone. On-site support ensures that check-in kiosks, badge printers, and scanners are functioning perfectly, helping attendees get through the doors quickly and efficiently.

  2. Real-time problem solving

No matter how well you plan, unexpected issues can arise. From internet outages to equipment malfunctions, having a dedicated support team on-site means immediate resolution, minimising disruptions and keeping the event on track.

  3. Enhanced attendee experience

When attendees encounter issues, whether it’s with navigating the venue or accessing session information, on-site support teams can provide assistance on the spot. This not only ensures a positive experience but also boosts your event’s reputation.

What industry leaders are doing

Platforms like Cvent, Accelevents, and Jonas Event Technology are well-known for their on-site solutions. These providers offer tools like check-in kiosks, badge printing, and real-time troubleshooting. Additionally, companies specialising in sourcing event equipment, such as badge printers and scanners, ensure events run smoothly by providing reliable hardware tailored to organiser needs.

What sets All in the loop apart

At All In The Loop, we take on-site support a step further by offering fully managed solutions tailored to your specific needs. Our team works closely with you to:

  • Provide comprehensive training to organisers and staff ahead of the event.
  • Offer flexible support packages that adapt to the scale and complexity of your event.
  • Deliver eco-friendly badge printing options and state-of-the-art check-in systems.
  • Whether it’s a last-minute equipment issue or helping attendees navigate the venue, our dedicated on-site team ensures your event runs smoothly from start to finish.

Conclusion

On-site support is not just a convenience—it’s a necessity for ensuring the success of any event. By choosing a partner like All In The Loop, you gain access to a team that not only solves problems but also proactively ensures a seamless experience for both organisers and attendees.

Maximise event app adoption: Actionable strategies for organizers

In today’s digital-first world, event apps have evolved into essential tools for creating seamless and engaging event experiences. From registration to post-event engagement, a well-adopted app can transform how attendees interact with your event, boost sustainability, and streamline operations. At All in the loop, we specialize in supporting organizers to maximize their event app’s potential. This guide outlines actionable strategies to drive app adoption and elevate your events.

Why event app adoption matters

Event apps do more than simplify logistics—they enable engagement, provide actionable insights, and promote sustainability. Whether you’re hosting a corporate seminar, tradeshow, or hybrid conference, apps centralize everything from networking to content sharing. The transformative impact of event apps is recognized industry-wide by providers like CVent, Swapcard, GRIP, Whova and CrowdComms.

At All in the loop, we help you leverage the full potential of these digital tools, empowering you to create unforgettable event experiences.

Strategies to encourage app usage

Leveraging pre-event marketing

1. Start early: Set the tone

  • Integrate with registration: Launch your app as soon as registration opens. Include download links in confirmation emails and on your event website. QR codes are a great addition for effortless access.
  • Build anticipation: Engage attendees before the event by sharing exclusive content like polls, contests, and venue-specific tips.
  • Onboarding made easy: Our how-to videos make it simple for attendees and stakeholders to explore the app’s features, ensuring they feel confident and excited to use it.

2. Smart marketing equals high downloads

  • Feature teasers: Use pre-event emails to showcase the app’s capabilities, such as networking tools and gamification. Short demo videos are especially effective for building excitement.
  • Strategic QR code placement: Place QR codes at high-visibility locations like your website, registration desk, and throughout the event venue to encourage downloads.

Features that drive engagement

3. Promote sustainability with centralized features

  • Reduce print waste: Transition to an app-only event guide to save resources and provide real-time updates. Attendees can access schedules, maps, and exhibitor details all in one place.
  • Highlight the environmental benefits: Use pre-event communications to emphasize how the app helps reduce the event’s carbon footprint, encouraging digital engagement as a greener alternative.

4. Engage attendees in real time

  • Interactive tools: Features like live polling, matchmaking, and Q&A sessions keep attendees actively engaged.
  • Real-time updates: Push notifications ensure attendees never miss important announcements or networking opportunities.

Event apps in 2024: Are they the game-changer that your event needs?

In the ever-changing world of event planning, staying ahead of the curve is crucial.

Events, with their multitude of activities, talks, and seminars, can be overwhelming for visitors. Traditionally, attendees relied on printed maps and schedules, but as we navigate through 2024, these have largely been replaced by custom-designed event apps.

The big question is – how effective are these apps?

If executed well, event apps can greatly benefit both organisers and visitors. Conversely, poorly designed apps can be a waste of time and money, leaving a negative impression.

The Value Proposition of Event Apps

Eco-Friendly and Cost-Effective

By reducing paper usage, event apps help create a “green” event while being cost-effective, eliminating the need for printed programs, tickets, and surveys. The Green Meetings Industry Council reported that events using apps reduced paper consumption by 70%, saving an average of $15,000 per event.

Enhanced Attendee Engagement

Features like personalised schedules, live polls, and interactive maps to keep participants engaged before, during, and after the event. A 2024 survey by EventMB revealed that 78% of event organisers saw increased attendee engagement when using an event app.

Streamlined Communication

Organisers can now send real-time updates, notifications, and reminders directly to attendees’ smartphones, improving communication efficiency. According to Event Tech Live, 82% of event planners noted significant improvements in communication thanks to event apps.

Data-Driven Decision Making

Event analytics on attendee behaviour, session popularity, and engagement levels, aid in better planning for future events. Moreover, detailed analytics from the app can enhance sales pitches to potential sponsors and exhibitors, turning visitor data into a valuable asset. Meeting Professionals International (MPI) says that, in 2024, 76% of event organisers used data from event apps to enhance their planning process.

Networking Opportunities

Networking is a key component of most events, but connecting with the right people can be challenging, especially at larger gatherings. Event apps can streamline networking through features like profile-based matchmaking, and in-app messaging, improving networking experiences. Event Tech Innovation Survey indicated that 65% of attendees reported more successful networking when using an event app, as per the Event Tech Innovation Survey.

Increased Sponsorship Value

Event apps provide unique opportunities for sponsors to connect with attendees through ads, push notifications, and branded content, enhancing sponsor satisfaction and ROI. In 2024, 60% of sponsors reported higher satisfaction and ROI when participating in events that utilized an app, according to Sponsorship Today.

Common Challenges with Event Apps

Initial Setup and Costs

Developing or purchasing an event app can be costly and time-consuming, requiring a significant initial investment.

Consideration: Smaller events or those with limited budgets may find it challenging to justify the expense.

Technical Issues

Technical mishaps such as app crashes, connectivity issues, and compatibility problems can disrupt the user experience and hinder engagement.

Consideration: Ensuring robust technical support and thorough testing can mitigate these risks.

Learning Curve for Users

Attendees unfamiliar with the app may face a learning curve, potentially leading to frustration and decreased satisfaction.

Consideration: Providing clear instructions and support can help ease the transition.

Data Privacy Concerns

Collecting and storing attendee data raises privacy concerns and requires strict compliance with data protection regulations.

Consideration: Implementing strong data security measures and transparent privacy policies is essential.

Dependence on Technology

Over-reliance on technology can be a drawback if there are failures or outages, leaving attendees without essential information.

Consideration: Having a contingency plan and backup communication methods can alleviate potential disruptions.

Conclusion: Strategic Planning for Successful Event Apps

Event apps can significantly enhance the experience for both organisers and attendees, provided they are thoughtfully designed and aligned with clear objectives. They can save time and money, bolster brand image, and facilitate networking and revenue generation. However, the decision to develop an app should be based on a thorough understanding of your event’s goals and audience needs. By starting with the “why” and carefully planning the app’s design and functionality, you can create a tool that adds real value to your event.

Adopting an event app can transform the way you plan and execute events, setting the standard for the future. However, careful planning, investment, and support are crucial to ensure a smooth and successful implementation. Whether you’re an event organiser or an attendee, understanding the full scope of what an event app offers will help you maximise its benefits while minimising any potential challenges.
