An Interview with ATALIAN’s Sales Director – Morana Grgić, MBA

In the fast-paced hospitality industry, where guests expect seamless service and top-tier comfort, facility management ensures operational excellence and guest satisfaction. The traditional approach—where hotels handle maintenance and facility management in-house—is increasingly being replaced by outsourcing models that provide specialized solutions, innovative technologies, and sustainable practices.ATALIAN Global Services Croatia, part of the ATALIAN Group, a global leader in facility management, has been delivering tailored solutions to hotels, shopping centres, office buildings, and industrial facilities across Croatia for over 30 years. Managing more than 1,200,000 m² of space across 700+ locations with 1,700 employees, ATALIAN offers integrated services that optimize costs, enhance energy efficiency, and elevate service quality. In this interview, ATALIAN’s Sales Director, Morana Grgić shares insights into the evolving role of facility management in hospitality—highlighting key trends such as the growing importance of sustainability, innovative technologies, and the long-term financial benefits of outsourcing.

As a Sales Director at ATALIAN, you’ve seen the evolution of facility management services. How have you observed the role of outsourcing in the hospitality industry changing over the past few years?

Over the past few years, outsourcing in the hospitality sector has evolved from a focus on essential, cost-driven services to a more strategic, integrated partnership model. Hotels today recognize that outsourced facility management goes beyond cost savings—it provides access to expertise, cutting-edge technology, and sustainable practices that elevate the guest experience and streamline operations. ATALIAN’s role has shifted to executing daily facility management tasks and proactively contributing to our client’s brand values and long-term growth. We’ve observed an increased demand for customized services, such as energy management solutions and innovative technologies, which allow hotels to optimize resources and operate more sustainably and efficiently.

Many hotel owners must pay more attention to the upfront cost of outsourcing facility management. How would you address these concerns and highlight the long-term financial benefits?

While the upfront cost of outsourcing can appear significant, it’s important to highlight that facility management outsourcing is an investment with compelling long-term returns.

ATALIAN offers robust, data-driven facility management strategies that reduce inefficiencies and prevent costly breakdowns and unplanned downtime. Our predictive maintenance and energy-efficient practices lower utility costs and extend the lifespan of assets, ultimately translating to significant cost savings. We provide transparency and detailed reporting so clients can see measurable improvements over time, which far outweigh the initial costs. This strategic approach allows hotels to reinvest in core areas such as guest satisfactionand service innovation.

What are some key challenges hotels face when managing facilities in-house, and how can outsourcing these services provide a solution?

Managing facilities in-house often presents challenges such as high staffing costs, skill shortages, and the complexity of maintaining compliance with evolving regulations. Hotels that choose in-house management may struggle with consistent service quality due to fluctuating demand and difficulty scaling operations up or down. Outsourcing to ATALIAN offers a solution by providing access to a specialized workforce with the expertise and flexibility to adapt to seasonal fluctuations. Additionally, we assume responsibility for compliance, training, and maintaining cutting-edge standards, freeing hotel management to focus on their primary mission: delivering an exceptional guest experience.

Sustainability is becoming a top priority for hotels. How can ATALIAN’s facility management services help hotels achieve their environmental goals while improving operational efficiency?

ATALIAN is deeply committed to sustainability, and our facility management services are designed to support hotels in their journey toward greener operations. We provide solutions such as energy management systems, waste reduction programs, and sustainable cleaning practices, which help hotels lower their environmental footprint. For instance, our energy optimization services can reduce a hotel’s energy consumption by up to 20%, which not only helps to meet environmental targets but also significantly reduces utility expenses. Furthermore, we collaborate with clients to set sustainability goals, provide regular progress reports, and implement eco-friendly practices that benefit both the environment and operational efficiency.

Morana Grgić, MBA Sales Director at ATALIAN Croatia

Digital transformation is a hot topic in hospitality. How are intelligent solutions and technology integrated into ATALIAN’s services to help hotels streamline operations and improve guest experiences?

ATALIAN embraces digital transformation through intelligent solutions that enhance operational efficiency and guest satisfaction. Our Integrated Facility Management Platform enables real-time monitoring, predictive maintenance, and data analytics to optimize resource allocation and prevent service disruptions. For example, IoT-based sensors allow us to accurately monitor energy and water consumption, adjust real-time settings, and flag potential issues before they affect operations. Additionally, cleaning and inventory management automation streamlines repetitive tasks, enabling staff to focus more on delivering superior guest experiences. This technological integration reduces operational bottlenecks and ensures a smoother, more responsive service flow.

In your experience, what are the most common misconceptions hotel owners have about outsourcing facility management services? How do you help them overcome these barriers?

A common misconception is that outsourcing facility management leads to losing control over service quality. Many hotel owners worry that outsourcing will compromise the brand standards they’ve worked hard to build. At ATALIAN, we overcome these concerns by fostering transparent communication, providing customized service plans, and aligning closely with our client’s unique brand values and operational goals. We also emphasize that outsourcing enables hotels to access specialized skills and resources that might not be feasible in-house, resulting in a higher standard of care. Regular reporting, KPIs, and frequent reviews help assure our clients that we maintain—and often exceed—their standards.

Morana Grgić, MBA Sales Director at ATALIAN Croatia

What’s the most significant benefit hotel managers can expect when they outsource their facility management to ATALIAN, especially in terms of guest satisfaction and operational efficiency?

The most significant benefit is undoubtedly the enhanced focus on core operations, which allows hotel managers to concentrate on creating memorable guest experiences. By outsourcing to ATALIAN, managers can entrust their facility needs to experts, confident that all aspects—from cleaning to technical services—are managed efficiently and professionally. This seamless support structure helps minimize operational disruptions, positively impacting guest satisfaction. Furthermore, by implementing preventive maintenance and intelligent resource management, we help hotels run more smoothly and cost-effectively, contributing to an overall elevated guest experience.

How does ATALIAN tailor its facility management services to different types of hotels, from luxury resorts to budget hotels?

ATALIAN understands that every hotel has unique operational needs and brand expectations. We provide high-touch, premium services for luxury resorts focusing on ambience, guest comfort, and sustainable luxury. In contrast, our services for budget hotels emphasize efficiency and cost-effectiveness without sacrificing quality. We conduct a comprehensive needs assessment for each client, identifying specific priorities and challenges to create a custom service package. Our scalable approach ensures that regardless of a hotel’s size or segment, ATALIAN delivers value-driven solutions that align with the client’s operational and guest experience goals.

With labor shortages affecting many industries, how does outsourcing facility management help hotels mitigate staffing challenges and maintain smooth operations?

Outsourcing provides hotels with a reliable staffing solution in an increasingly challenging labour market. ATALIAN’s vast pool of trained facility management professionals allows us to fill staffing gaps efficiently and flexibly, adapting to peak seasons or sudden changes in occupancy. This flexibility reduces the burden on hotels to recruit, train, and retain in-house facility teams, which can be costly and time-consuming. Additionally, our workforce is continuously trained to meet the latest standards and equipped with the necessary tools and technology to perform their tasks efficiently, ensuring smooth operations even during labour shortages.

What’s your vision for the future of facility management in the hospitality industry? How do you see ATALIAN playing a role in shaping that future for hotel owners and managers?

The future of facility management in hospitality is poised to be more data-driven, sustainable, and guest-focused than ever. At ATALIAN, we envision a future where advanced technology, such as AI and IoT, will drive operational insights, enabling hotels to optimize performance and anticipate maintenance needs before they arise. Sustainability will be at the core of this evolution, with eco-conscious practices becoming an industry standard. ATALIAN aims to lead this transformation by continuously innovating our service offerings and partnering with hotels to achieve their strategic goals in a dynamic market. We’re committed to helping hotels operate efficiently, responsibly, and with the flexibility to adapt to changing guest expectations and environmental challenges.

The facility management industry is undergoing a major transformation, and 2024 is proving to be a pivotal year. With significant regulatory changes, evolving technologies, and an increased focus on sustainability, the industry is adapting to a rapidly changing environment. This blog delves into the key trends and strategies that facility managers need to know to remain at the forefront of the industry.

Regulatory Change: Staying Ahead of the Compliance Curve

2024 has witnessed the ongoing effects of key regulatory shifts in facility management, mainly introducing the Fire Safety Act 2021, Building Safety Act 2022, and the Fire Safety (England) Regulations 2022. These changes have reshaped the responsibilities of facility managers, particularly in areas related to fire safety, building integrity, and regulatory compliance. With new compliance requirements, facility managers must ensure their facilities meet the highest standards.

  • What’s changing?: Facility managers need to stay current with these evolving regulations, ensuring that their buildings are compliant, risk assessments are conducted regularly, and maintenance practices align with the new laws. This is especially critical for high-risk buildings, such as residential or high-rise properties.
  • Looking ahead: As we move into 2025, we anticipate the spotlight on regulatory compliance will intensify, focusing on structural integrity, documentation accuracy, and the importance of having a Principal Accountable Person (PAP) in place. Facility managers must adapt quickly and effectively to ensure their practices align with current legislation.

Sustainability: A Greener Future for Facility Management

As environmental concerns continue to grow, sustainability remains a key focus for facility managers in 2024. The building industry is responsible for 40% of global carbon emissions, with a large share stemming from construction, demolition, and operational processes.

  • The path forward: In line with global commitments to net-zero carbon emissions by 2035, facility managers must focus on improving energy efficiency in existing buildings and incorporating sustainable practices into new designs. This involves embracing green building certifications, reducing energy consumption, and selecting sustainable materials.
  • Practical actions: Facility management companies must train their teams in sustainable maintenance practices, adopt energy-efficient technologies, and prioritize green initiatives to help businesses reduce their environmental footprint.

The Future of Facility Management: Embracing Artificial Intelligence

Technology continues to be a driving force in transforming facility management, and artificial intelligence (AI) plays a key role. AI-driven technologies, such as IoT sensors and digital twins, revolutionize how buildings are monitored and maintained.

  • Predictive maintenance: With AI integration, facility managers can predict when equipment needs maintenance, avoiding costly downtime and ensuring compliance with safety standards. AI allows for better decision-making, as it can identify patterns and inefficiencies that human managers might miss.
  • Challenges and opportunities: However, the adoption of AI technologies remains slow in the facility management sector, with many businesses still struggling to integrate these solutions. As we head into 2025, there will be a stronger push for training and skill development to ensure that facility management teams can effectively harness the power of AI to optimize operations.

Digital Integration: Streamlining Maintenance with Smart Technologies

The move towards digital-led maintenance strategies is gaining momentum in 2024. Facility managers increasingly integrate digital platforms to manage assets, track performance, and ensure efficient maintenance.

  • Digital tools: Solutions like BMS (Building Management Systems), IoT-connected devices, and AI-powered analytics provide real-time insights into building operations. These tools help facility managers streamline tasks, from monitoring energy use to scheduling preventative maintenance.
  • Overcoming hurdles: Despite the benefits, many businesses face challenges in adopting these technologies due to high costs and the need for specialized skills. In the coming year, facility managers will push for more brilliant integrations and data management strategies to streamline operations and reduce costs.

The Importance of Collaboration: Enhancing Connectivity in Facility Management

Successful facility management relies heavily on strong collaboration. Facility managers must work closely with contractors, engineers, property owners, and other stakeholders to ensure smooth operations and compliance.

  • The golden thread: The “golden thread” concept — a digital trail of accurate and accessible information about a building’s assets and maintenance history — has become more critical. Ensuring all stakeholders have real-time access to this information will drive efficiencies and prevent costly errors.
  • Building stronger teams: As facility management teams become more diverse, with a mix of internal and external contractors, the need for digital collaboration tools will increase. Investing in software that facilitates data sharing and communication between all parties is essential to enhancing overall productivity.

Preparing for 2025: What Facility Managers Need to Know

As we look ahead to 2025, the facility management sector will continue to evolve. With an increasing focus on sustainability, regulatory compliance, digital integration, and collaboration, facility managers must prepare to embrace new technologies, refine their strategies, and continue adapting to a changing regulatory landscape.

  • Get ready for change: Facility management companies must invest in training, adopt digital tools, and comply with ever-changing regulations. By staying ahead of industry trends and focusing on innovation, companies can ensure they thrive in an increasingly competitive landscape.

Conclusion

2024 has set the stage for significant changes in facility management, and 2025 promises to be a year of transformation. The regulatory shifts, technological advancements, and sustainability efforts will continue to shape how facility managers approach their work. By staying informed and adaptable, ATALIAN Global Services Croatia is committed to helping clients navigate these changes and build a more efficient, sustainable future.

The Financial Benefits of Outsourcing Facility Management in Hotels

Managing a hotel comes with significant costs—from facility maintenance and staffing to utility bills. But what if there was a way to reduce these expenses without compromising quality? Outsourcing facility management is an effective solution that can save hotel owners money while improving operational efficiency. This post will discuss how outsourcing facility management services can help your hotel reduce overhead, optimize resource allocation, and avoid costly in-house staffing.

Cutting Overhead: Reducing Costs through Outsourcing Facility Management

The financial burden of running a hotel extends far beyond the basic operational costs. When you outsource facility management services, you can significantly reduce overhead costs related to recruitment, training, and maintaining an in-house staff. This includes everything from cleaning and maintenance to specialized tasks like electrical or HVAC services. With outsourced facility management, you avoid employee benefits, training, and turnover expenses.

Key Benefits:

  • Reduced payroll expenses
  • Less overhead in recruitment and training
  • More flexibility in staffing based on hotel occupancy

Optimizing Resources for Better Cost Efficiency

Outsourcing your facility management services allows you to allocate resources more efficiently. By handing over operational tasks such as cleaning, maintenance, and security to a professional service provider, hotel managers and owners can focus on core business operations, such as guest experience and revenue generation. This optimization of internal resources helps your hotel grow without the financial strain of managing day-to-day facilities in-house.

Resource Optimization Highlights:

  • Focus on guest services, marketing, and strategic goals
  • Increased productivity without unnecessary resource allocation
  • Improved hotel operations and guest satisfaction

Avoiding Expensive In-House Staffing Costs

Hiring, training, and managing in-house facility staff can become costly, especially for specialized tasks that require specific expertise. Outsourcing eliminates these concerns and gives you access to experienced professionals who know how to handle a variety of facility needs. It also helps you avoid hiring specialists for roles such as electrical or plumbing maintenance and instead rely on experts at a fraction of the cost.

Key Takeaways:

  • Eliminate the need for specialized in-house staff
  • Reduce HR-related expenses like recruitment, training, and insurance
  • Access experienced facility management professionals

Proactive Maintenance: Minimizing Emergency Repair Costs

Emergency repairs can quickly drain a hotels budget. However, outsourced facility management offers proactive maintenance services that can identify and address minor issues before they become costly repairs. A professional facility management provider will conduct regular inspections and handle preventive maintenance, saving your hotel from emergency repair costs and extending the lifespan of equipment.

Cost-Saving Benefits:

  • Prevent costly emergency repairs
  • Extend the lifespan of hotel assets
  • Ensure hotel facilities are always in working order

Streamlining Energy Efficiency: Lowering Utility Costs

Utility costs are often one of the largest ongoing expenses for hotels. By outsourcing facility management, your hotel can benefit from advanced energy management strategies that lower energy consumption and reduce overall utility bills. Professional facility managers implement smart technologies that optimize heating, cooling, and lighting systems, providing long-term savings on your utility bills while also contributing to sustainability efforts.

Energy Efficiency Benefits:

  • Reduce energy consumption and lower utility costs
  • Implement smart energy solutions (LED lighting, efficient HVAC systems)
  • Align with sustainability goals to attract eco-conscious guests

Scalability: Flexible Service to Match Your Hotels Needs

As your hotel grows or experiences seasonal changes, outsourcing facility management services offers the flexibility to scale operations up or down quickly. Whether you need additional staff during high season or reduced services during off-peak months, outsourcing providers can easily adjust to your needs without the cost and hassle of hiring and firing in-house staff.

Why Scalability Matters:

  • Scale services according to seasonal demand
  • Adjust staffing levels based on occupancy rates
  • Reduce unnecessary operational costs

Save Money and Improve Efficiency by Outsourcing Facility Management Services

Outsourcing facility management services offers hotel owners a wide range of financial benefits. From reducing staffing and overhead to minimizing emergency repairs and lowering utility expenses, outsourcing provides a cost-effective solution to help your hotel stay competitive in a rapidly changing market.

In the ever-evolving hospitality industry, delivering an exceptional guest experience is paramount. While many hotels already rely on in-house teams for facility management, partnering with an external facility management provider can offer significant added value. These services complement existing hotel operations, ensuring consistency at every guest interaction point. This strategy enhances the guest experience, improves operational efficiency, and strengthens hotel brand resilience.

Enhanced Guest Experience

The guest is always the focal point in hospitality. An external facility management provider can deliver top-notch maintenance, cleanliness, and security services, directly improving the guest experience. Guests feel confident in the quality of service and safety when rooms are impeccably clean, communal spaces are well-maintained, and the hotel’s technical systems are functioning correctly. This service level meets and exceeds guest expectations, ensuring return visits and positive reviews.

Operational Efficiency

Hotels face challenges in daily operations, and managing all operational segments can be complex. Outsourcing facility management services allows hotels to focus on their core business activities while the external provider manages maintenance and technical services. By utilizing advanced technologies and optimized processes, external providers can enhance operational efficiency, reduce downtime, and ensure smooth operations.

Flexibility and Scalability

Seasonality plays a significant role in resource allocation in the hospitality sector. An external facility management provider can adjust service levels based on hotel needs. During peak seasons, resources can be scaled up to meet increased demand, while services can be optimized and scaled down during slower periods. This flexibility gives hotels greater control over operational costs without compromising service quality.

Sustainability and Environmental Responsibility

The hospitality industry increasingly faces challenges related to sustainability and socially responsible business practices (ESG – Environmental, Social, Governance). External facility management providers like ATALIAN can assist hotels in integrating eco-friendly practices, such as reducing energy consumption and efficient waste management, thereby improving business sustainability. These initiatives lower operational costs and respond to the growing expectations of environmentally conscious guests.

Managing hotel sustainability involves balancing economic growth with social responsibility, including adherence to fair labour practices and community engagement. This challenge requires innovative and strategic approaches to manage resources and operations while maintaining high service standards sustainably.

Brand Reputation and Guest Trust

When hotels collaborate with external facility management providers who bring expertise and consistent service quality, it boosts guest trust in the brand. External providers can help maintain high standards of safety, cleanliness, and comfort, directly impacting the hotel’s reputation. Today’s guests expect consistently outstanding experiences, and this is precisely what an external partner can help deliver through meticulous operational management.

Expertise and Integration with Operations

ATALIAN’s facility management services are tailored to integrate seamlessly with the hotel’s internal operations. This approach ensures consistency across all aspects of hotel business, enhancing security and service continuity. With extensive experience working with leading brands, ATALIAN develops solutions that help improve guest experiences, increase operational efficiency, and uphold environmental standards.

Managing a hotel is a demanding task that requires precision, expertise, and ongoing improvement. Outsourcing facility management services provides numerous advantages for hotels—from increased efficiency and cost reduction to enhanced guest experiences and sustainable operations. ATALIAN can become your essential partner in this journey, helping you meet and exceed your guests’ expectations and build a long-term reputation for excellence.

As the crisp autumn air settles in and winter approaches, facility managers and business owners’ pivotal role in ensuring a comfortable environment for their occupants becomes even more significant. Their proactive measures in preparing the heating systems through proper maintenance and strategic planning can prevent costly breakdowns and provide a warm and inviting space for the upcoming season.

Here’s a quick guide on actions to take:

Conduct a Thorough Heating System Inspection

Before the heating season starts, a professional must inspect your heating system, including checking the furnace, boilers, and other components for wear and tear. An inspection can identify potential issues leading to unexpected failures or inefficiencies.

Clean and Maintain Equipment

Over time, dust and debris can accumulate in heating systems, reducing efficiency and increasing energy consumption. Make sure to clean all filters, vents, and ducts regularly. This maintenance will help maintain optimal performance and prolong the lifespan of your equipment.

Verify Thermostat Settings

Check that thermostats are functioning correctly and set to the desired temperatures. If you haven’t already, consider upgrading to smart thermostats. Smart thermostats can optimize heating schedules based on occupancy, potentially saving energy costs.

Insulate and Seal

Proper insulation and sealing of your facility are crucial for maintaining consistent temperatures and reducing energy costs. Inspect windows, doors, and insulation to prevent heat loss and drafts. Sealing any gaps will help your heating system work more efficiently.

Review Energy Efficiency

Assess the energy efficiency of your heating system. Upgrading to more energy-efficient models or implementing energy-saving practices can reduce operational costs. Ensure that all systems are operating at peak efficiency to avoid unnecessary expenses.

Develop a Heating System Maintenance Schedule

By creating a detailed maintenance schedule for regular checks and servicing of your heating systems, you can rest assured that you’re taking the necessary steps to avoid emergencies and extend the lifespan of your equipment. This proactive approach and a well-trained and equipped maintenance team will instill confidence in your facility’s readiness for the heating season.

Communicate with Occupants

Clear and timely communication with building occupants about any scheduled maintenance or changes in heating schedules is critical to managing their expectations and ensuring they are ready for any temporary disruptions. This approach empowers them to plan accordingly and minimizes any potential discomfort.

Optimizing Your Facility for Winter: Key Takeaways

As the heating season begins, you must proactively ensure your facility remains comfortable and energy-efficient. Regular inspections, maintenance, and updates to your heating systems are essential for preventing issues and enhancing performance.

By following these steps, facility managers can not only extend the lifespan of their heating equipment but also contribute to energy savings and a more comfortable environment for all occupants. This means fewer disruptions and a more efficient operation throughout the colder months for business owners.
