Sharing your Google Form is easy with a link, but sometimes you want a faster, more accessible way for people to open it. QR codes are a simple solution. They can be used to share any webpage — including a Google Form — and can be printed on posters, flyers, event signage, or business cards. They’re also easy to include in emails, social media posts, and newsletters. When someone scans the code with their phone, it instantly opens your form without them needing to type in a long URL.

QR codes make it incredibly easy for people to access your Google Form in person. Instead of typing a long link, users can simply scan a code with their phone and open the form instantly.

In this guide, we’ll show you how to create a QR code for your Google Form in just a few minutes.


Step 1: Create or Open Your Google Form

Start by creating your form in Google Forms or opening an existing one.

You can use Google Forms for many purposes, including:

  • Event registrations
  • Surveys and feedback
  • Volunteer sign-ups
  • Order forms
  • Camp or program registrations

If you need to collect payments along with form responses, you can also connect your form to the Payable Forms add-on, which allows you to attach prices to questions and accept payments after submission.

Once your form is ready, the next step is to get the form link.


Step 2: Copy Your Google Form Link

At the top right of your form, click the Copy responder link button.

You’ll see the shareable URL displayed, an option to shorten the URL, and the option to easily copy that link.

Click Copy to copy the form link to your clipboard.

Now you’re ready to generate your QR code.


Step 3: Generate a QR Code

If you’re using Google Chrome, simply plug your shareable URL into your browser, and right-click your form page and select Create QR Code for This Page to generate one instantly.

Alternately, there are many free QR code generators available online. Simply paste your Google Form link into one of these tools and it will generate a scannable code.

Once generated, download the QR code image.


Step 4: Share Your QR Code

Your QR code can now be added anywhere you want people to access your form quickly.

Common places to use it include:

  • Posters or flyers
  • Event signage
  • Registration desks
  • Printed programs
  • Emails or social media posts

When someone scans the code with their phone camera, it will open the Google Form automatically.

This makes the sign-up process much faster and easier.


Optional: Collect Payments Through Your Form

If your form is being used for registrations, ticket sales, or orders, you may also want to collect payments.

The Payable Forms add-on lets you connect payments directly to your Google Form. After someone submits the form, they’re taken to a secure payment page where they can complete their purchase.

A common question we receive from Payable Apps users relates to unpaid orders: “Not all of my orders are paid—does that mean something is wrong with my form?”
Typically, nothing is wrong. Not every form submission will result in a paid order; consider it an abandoned shopping cart. We’ve got some tips and tricks to optimize your form to ensure you’re set for success and capturing payments.

Ensure Your Form is Collecting Emails

When you setup the Google Forms Payable add-on we enable a setting in your form to automatically collect responder emails, this is so that we can associate an email with each order generated, and send order notifications to your customers.

Oftentimes users will go back into their form and turn off this email collection question – we discourage this for multiple reasons, but for this purpose it means we cannot send customers their order summary email containing their invoice for payment. It’s not unusual for customers to not pay immediately after generating an order and return at a later time to complete payment; without this Payable notification email they will be unable to get back to their checkout page once they have closed their internet browser.

Enable Payment Reminders

To allow you to follow up with customers on unpaid orders, Payable Apps has an email reminder function to automate this process for you. With Payment Reminders enabled we will automatically send a reminder to orders that remain unpaid 24 hours after creation. Sometimes a little reminder is all that’s needed to ensure a customer completes their order with payment.

How to Enable

  1. Open your Payable sidebar (click the Add Ons puzzle piece > Payable Forms > Configure Payment Settings)
  2. Navigate to the Notification Settings section in your sidebar
  3. Toggle Send Payment Reminders to Yes

It’s possible to send more than 1 reminder email, but to do so you will need to manually trigger the notification. Read here for more information.

Minimize “Free” Orders

Another point to examine on your form is if it’s possible for customers to submit your form without selecting any payable amounts. You’ll want to reflect on the purpose of your form and whether you want users to be able to submit it without creating a balance owing – if your answer is “no”, you should ensure at least one of your payable questions (a question containing a price) is a mandatory response. By activating the Required setting on a Google Form question you will ensure that the question containing a payable amount cannot be skipped or missed when completing your form.

Improve the User Experience

Use Images

Google Forms allows you to add images directly to your questions. For the dropdown, multiple-choice grid, checkbox grid, and short-answer question types, you can assign one image per question. For the multiple-choice and checkbox types, you can assign one image per response option. Adding images to your form can make it more dynamic, allow the customer to better connect with your product or service, and can improve the user experience on a mobile device.

Look for the image icon when creating or modifying your questions, and click it to upload an image!

Enhance Navigability of Long Forms

Long forms can be cumbersome to navigate but using Google’s Skip To logic can shorten your form when possible, enabling users to skip sections that may not be relevant to them. It’s possible to create a question on your form such that when a user selects a response, they are taken to a particular section of your form next.

Why These Errors Happen

Google add-ons are tied to the specific account that installed them. If you use multiple Google accounts (for example, a personal Gmail and a work account) within the same Chrome browser, those logins can interfere with each other. This can cause authorization or permission issues when you try to set up or run your add-on.


How to Fix the Issue

Here’s the step-by-step fix that resolves these errors in most cases:

  1. Open a new Incognito Chrome browser window.

Have you created the perfect form—crossed your T’s and dotted your I’s, shared it with the world—only to be told your target audience is unable to fill out your form? How frustrating! The Google Forms platform has a wealth of features and functionality, but sometimes the way your form is configured can restrict the ability of your users to access it. Don’t worry—we’ll cover why that happens and how to fix it so your form works exactly the way you want.

By default, Google Forms don’t require a login – anyone with the link should be able to respond. But depending on a few settings and question types, your form might end up requiring respondents sign in to a Google account.

Form Settings

The first point to check is the Settings section of your form, then click the Responses title to expand this section. You’ll see an option to Collect email addresses. If it’s set to “Do not collect” or “Responder input,” you’re in the clear—no login is needed. But quick note: if you’re using the Payable add-on, you’ll need it set to “Responder input” so that the form is collecting an email for order notifications.

Next, watch out for the Limit to 1 response toggle. Turning that on sounds great for preventing duplicates, but here’s the catch: it forces users to sign in so Google can track who already submitted. If you want open access, leave it off.

File Upload Questions

Another common culprit is file upload questions; this question type is frequently used on forms to collect documents to accompany a form submission. The moment you add one, Google requires people to log in, because the uploads connect to Google Drive. If you don’t want that barrier, you’ll need to collect files another way—like asking users to email them to you after submitting the form.

Sharing Permissions

And finally, another point to check is your form’s sharing permissions. This one trips up a lot of people. When you hit the purple Publish button, check who can respond. If you see “Restricted” or your organization’s name, that means only logged-in users in your domain can access it. To fix this, click Manage and change the Responder view to “Anyone with the link.” Now, your form will be open to anyone you share it with.

One last thing: sometimes, features like quizzes, automatic response receipts, or even school and workplace IT policies can sneak in login requirements, too. If you’ve checked your settings and things still aren’t working, that could be the reason.

So the big takeaway: check your settings, avoid file upload questions if you don’t want logins, and make sure your sharing permissions are open. Do that, and your Google Form should be good to go for anyone with the link. 👍
