The Inter-Cultural Association of Greater Victoria (ICA) had been on the hunt for a new CRM for some time. While we reviewed many platforms and interviewed many providers, for one reason or another, we could not cross the finish line in making a decision. Either the systems were to enterprise driven or required in-house technical support or they were, quite frankly, out of our reach in terms of pricing.

I had the pleasure of meeting with the CARMIS team back in 2017 when they were first developing their award-winning platform. They caught my attention because they had an innate knowledge of the immigration and settlement services sector here in Canada. They understood the need to map client data in a way that documented a client’s needs, the accomplishments of that client overtime, and equally important, the organization’s story of impact in its community.

Jump forward to 2024, it was the CARMIS platform that demonstrated:

  1. a keen understanding of how our programs worked to serve our community,
  2. a clean and intuitive graphical interface and
  3. found a way to integrate AI technology into their smart forms, modules and reporting.

The conversion from our existing database to CARMIS has been shepherded by the talented and diligent CARMIS team. They have walked alongside our internal teams to map workflows, to suggest process improvements, and overall, create a system that will provide our clients with timely information and our staff with ease of access to data and reporting tools.

ICA is actively engaged in the implementation of the CARMIS system but we are already seeing tremendous efficiencies and better understanding of our data and our story of impact. An example of this is the workflow mapping process that was undertaken in order to better understand how data flows through our organization and across programs. Another example that demonstrates our efficiencies is the inherent referral processes that are embedded into the robust program structure. Our staff can now seamlessly refer a client to either an internal program or to a partner organization while sharing permissible information so the client does not have to repeat their needs. This functionality also allows us to map out the client journey and identify how much they have accomplished while attending services at ICA.

I have used many CRM systems in the past and I would recommend any forward-thinking organization interested in improving client access to services and information to check out CARMIS. Their team is agile, creative and responsive all of which are highly needed skills of any software company providing solutions to the human services sector.

Sunrise Family Services Society is a licenced adoption agency in British Columbia. We are a non-profit charity that facilitates local and intercountry adoptions. Sunrise was started in 1996 and we were long overdue to update our case management system. Eastman Immigrant Services (EIS) is a non-profit organization and assists newcomers settling in the Eastman and Interlake region, making the transition to a new community a positive experience, both for the newcomer and the receiving community. Since engaging with NSD Tech, CARMIS has simplified how we use data to support case management and reporting at our organization.

Aurora Family Therapy Centre is a progressive, non-profit family therapy centre that offers family therapy on a sliding scale and sees clients through services funded by both the federal and provincial governments. Aurora is committed to providing systemic therapy to strengthen family relationships, individuals, and communities. Aurora considers mental health services accessibility to be a global health equity issue. Our work requires a robust data collection and reporting mechanisms to support the tracking of the wellbeing of our clients across different programs and their progress within programs. CARMIS has been able to provide all the processes and solutions requirement to achieve these for our clients and funders.

We had been looking for a data management tool for a while but never got around to deciding on the next steps. We were collecting data through multiple methods and using many rudimentary tools often struggling with the consolidation, analyzing, and uploading of data and spending tons of time entering data and formulating reports.

The experience of the COVID-19 pandemic provided us with the impetus to find a data management tool that met our programming needs. We wanted to build a system that was better than what we had pre-pandemic times. We wanted to modernize our data management and reporting system.
When we were looking for a data management tool, we were looking for answers to the following questions.- Will the data management tool address our data collection, handling, and reporting needs?

  • Can it consolidate and connect data across our different programs and process reports to meet multiple funder reporting requirements including bulk uploads of data.
  • Is the company accessible? Is it Canadian owned and Canadian based? Will our data stay in Canada.
  • Is it compatible with our privacy needs?

It took us almost a year to come to the decision that we work with CARMIS and the NSD folks. We went through several other companies but were pleased with the platform and the features offered by the CARMIS tool. Above all, what pleased us most was that CARMIS was owned and developed by new Canadian entrepreneurs.

One of our key objectives as an organization is to empower highly skilled immigrant entrepreneurs. Of course, Canada attracts the best and the brightest from all over the world but what a better way to provide an opportunity, partner with and use the exceptional skills of immigrants to offer solutions to programming that helps support and integrate new Canadians. We felt that Sumegha, Nitin and their team were the embodiment of the best and brightest that Canada welcomed. With CARMIS, we did not have to change our reporting preferences. The NSD Tech folks worked to innovate, create, and fit the data management tool with our reporting preferences.

In preparing this letter, I asked a few of our key program leaders to provide comments on the use of CARMIS as a data management tool and the support they received from NSD Tech.

I have been very impressed with their “after installation service”. Nitin (as the contact person) has been very responsive to any issues that have arisen. He answers emails promptly and tends to the question/issue raised immediately. I have noted that often they have worked over the weekend or on a holiday to fix the issue. This is impressive. I have also been impressed with how he communicates the technical side of the question, with accessible language and direction, all the while with very calm, patient as well as approachable manner. Neepawa and Area Immigrant Settlement Services is a rural, not-for-profit agency in Manitoba. It offers a wide range of services to permanent residents, refugees and temporary foreign workers who have moved to our area in Manitoba. We are offering services in two locations within our area. Services can include but are not limited to Information sessions, both one-on-one and group, English language training, employment-related services, Settlement Workers in Schools programs, and specific services for temporary foreign workers. We provide services to several communities and four school divisions.

Over the past few years, the demand for our services has increased substantially and subsequently resulting in increased staffing and more reporting expectations. The data management platform we had been using was not meeting the needs of a case management model. Our agency along with several other rural agencies reviewed a number of current platforms. We were looking for several features, most notably, the ability to have one system that could meet our needs with built-in flexibility to be able to address changes that happen within our sector.

Many of our agencies have multiple funders, and we needed a program to accommodate this feature. We also wanted a program that was adaptable and forward-thinking; one that provided assistance with generating various analytical reports and was compatible with our funder’s reporting obligations. We ended up choosing CARMIS.

We have found the folks at CARMIS to be professional, approachable, solution orientated, friendly, flexible and with a technical savvy that is much appreciated by our staff. They are always trying to ensure that they are meeting our needs. Working with CARMIS has allowed us to work in a case management format that allows one point of entry with a client across multiple programs. It has also allowed us to create additional documents and events as needed.

We are pleased with our choice of CARMIS as a platform that is meeting our needs and has the capacity to grow with us. As a bonus, we appreciate the fact that CARMIS was founded and is operated by people who have lived the newcomer experience.
