Credit Note - how to sort my mess pse! If you make a credit note against a paid invoice or purchase and hold on account, then the amount will show up under prepayments for the client or supplier, and you allocate it to other invoices using log payment → apply from credit.

I believe there’s some sort of payment record created in the background but you can’t control which credit gets applied to which new invoice, the “apply from credit” function always applies the oldest credit or prepayment first.

So, as you suggested, I made one lump payment to the partnership (totalling the 32 deposits/payments that I had received to date). I then managed to issue credit notes to all 32 invoices. Despite being a tedious exercise, I had no issue with locked invoices, presumably because I didn’t need to change/edit the existing invoices in any way.

Each credit note neatly tagged onto my Quickfile bank statement. Once I was confident that the credit notes added up to the single lump sum transaction, then I deleted the untagged lump sum entry on my QF bank statement. Finally, I reconciled with my actual bank statement and hey presto, it matched! Great relief!

So, thanks for your support - it gave me confidence to go ahead and make the changes.

Changes to accounts filing – important update from Companies House Thank you for your comment.

My comment related to the above. I am not a technophobe or technical luddite. I wrote and published my first web site back in 1997 and was such an early adopter of Adwords that Google send me a Christmas present two years running and I think my first version of Quickbooks was 2003. I am still coding now with the help of Cursor AI.

As for the digital first approach I have been doing everything online with CH, HMRC, VAT etc etc for literally longer than I can remember.

What irritates is the people who come up with these changes don’t live in the real world and the day to issues of running a small business.

I can handle the data myself and will continue to do so (having read Steve’s very helpful comment) but the way I am obliged to handle it myself is not how I would have designed the system.

Recon payment in currency X to Invoice in currency Y It depends on the currency - QuickFile lets you use GBP to pay a foreign currency invoice or use a foreign currency to pay a GBP invoice, but not foreign-to-foreign (i.e. one side or other must be GBP).

If you want to do a foreign to foreign payment the only way I’m aware of is to use a GBP dummy account as the intermediary, tagging the original foreign currency payment as a transfer to/from the GBP account and then manually creating a balancing GBP transaction that you can tag to the invoice.

Netting supplier payments and receipts against invoices Credits and refunds are one of the pain points in QuickFile. The situation you describe you should have a prepayment balance of £75 on the supplier’s account, so usually what you’d have to do next is find the part-unallocated payment (via the supplier’s detail page, view all payments), and when you click through to the relevant payment there’s an option to “refund balance”. Select the relevant bank account and date here and it will create a pre tagged money in transaction representing the refund, and you can delete the duplicate untagged transaction that came from your bank feed.

However you can only “refund balance” on a single payment at a time and the refund can’t be for more than the unallocated value of that particular payment. If you recorded two payments of £100 and £10 (in that order), then created the two purchases of £15 and £20 and marked them paid via “apply from credit”, then given how QuickFile always uses the oldest payment first you will likely have £65 unallocated on payment 1 and £10 unallocated on payment 2. If you refund the two balances separately then you’ll get two refund transactions adding up to £75 rather than one £75. That’s fine from an accounting perspective but if it bothers you then you’d have to detach one of the purchases from the larger payment to get the unallocated balance over £75, then do the £75 refund, then “apply from credit” again (which will use up both payments).

Process the refund through the suppliers account.

  • Open the invoice and raise a credit for the amount to be refunded for that invoice > Save > Refund
  • Repeat for the second invoice.

You would then see the 2 refunds in the bank.

As you mentioned you have 1 refund transaction already there it would be untagged and would need deleting to avoid duplication.

Netting supplier payments and receipts against invoices Hello. I have a property business and during a recent void was responsible for utilities. I paid by DD. Two payments were taken but were much more than the final liability and so I received a refund.

I have posted the charges as purchases. And have tagged to two payments to the supplier. However when I try and say that the refund is from the same supplier I get the following message “No qualifying purchases could be found to refund against. Make sure the corresponding purchase has been logged before you attempt to process this refund.”

I know that all amounts are correct as the total of the purchases equals the net of the two DD and receipt. How do I tag the bank receipt so that it is posted to the utility supplier account and all nets down to zero.

But one further question – do I just draw up invoices/receipts for the property in with same “new sale”/”new purchase” option I use for sole trader business and then assign them a code for the cumulative update? I’ve read about needing the QF Landlord dashboard for property invoices etc but it seemed I couldn’t switch between dashboards.

Sole trader now with property I have used Quickfile for several years for business as a sole trader. All set to submit returns on MTD Self Assessment. I am now letting out a flat and I need to enter that too with HMRC.

As you’re likely aware, HMRC and Companies House have announced plans to close their joint corporate tax filing service by April 2027. This change will require businesses to use commercial software to file Company Accounts and Corporation Tax returns separately.

At this time, QuickFile has no current plans to develop a Corporation Tax and Accounts filing service for limited companies.

However, you do have two options to consider going forward:

Like I expect many people I have received an email today from Companies House with the subject line:

While at the moment the company has an accountant, it is such a simple comapany, that it was not my intention to continue with an accountant. With 40 years in business I was pretty certain I could do it myself but then the bureaucrats get in the way.

Following the various bits of guidance on filing accounts with Software I arrived at:

which lists software that can be used to submit the accounts.

It does not list Quickfile or interestingly QuickBooks but does list Xero. The latter being the one I decided against (clunking expensive slow and treats you like an idiot unlike QF) when I chose QuickFile.

Does this mean I am going to have to stop using QuickFile and I switch to say Xero or:

  • List item Is QF planning to get authorised to be able to submit accounts to CH
  • If not is there intermediate software that I can use to take the figures from QF and send to CH?

I’ve been thinking about the locked invoices and the 170 outstanding.

There has to be a way of crediting that 170 in the new financial year because otherwise it will appear as unpaid in an aged debtors report, in perpetuity.

This 170 would also form part of your ‘current assets’ on the balance sheet which wouldn’t be accurate since you have no expectation of ever receiving this money.

If you find a way to deal with that 170, I’d be glad to hear how you did it.

(I haven’t had to try to credit part of an invoice in a locked period using QF and I can’t see this in the QF guide)

Credit Note - how to sort my mess pse! Thanks for the advice. I think in the end I completed another version of the credit note including the refund section. This generated a payment in banking. I then deleted the Bank Feed entry so only one deduction.

I’ll keep your advice just in case – this was my first go as I don’t like giving money back!
