The LinkHMS system supports full ICD integration and also allows you to add an uncoded diagnosis when a specific code is unavailable or not applicable. Diagnoses can be added during outpatient visits, inpatient admissions, or directly from the patient’s EMR.

Adding the Uncoded Diagnosis

  • To add an uncoded diagnosis, skip the ICD code selection from the available diagnoses list and start typing the diagnosis directly.

  • Record the current diagnosis by selecting the attendance from the dropdown and specifying the type – Uncoded.

It is necessary to enter the diagnosis and select Uncoded as the diagnosis type to avoid notifications and enable the + Add Record button.

Accessing the Pregnancy History

  • Open the Pregnancies tab.

  • Each row represents one pregnancy record. The table is designed as a summary view, with the option to open the full pregnancy record when more detail is needed.
  • The pregnancy history displays the following columns:

  • Start Date – the date the pregnancy started, based on Last Menstrual Period (LMP).
  • End Date – the pregnancy completion date. (Shows the pregnancy end date for completed pregnancies and the expected due date for ongoing ones)
  • Delivery Type – mode of delivery if applicable (Vaginal Spontaneous, Vaginal Assisted, Emergency C-section, Elective C-section)
  • Fetuses – number of children resulting from the pregnancy.
  • Status – outcome or current pregnancy state, highlighted with color-coding: Ongoing (green), Live Birth (blue), Stillbirth (orange), Abortion (red), Miscarriage (red).

💡Notes

For multiple pregnancies, different fetal outcomes may occur. LinkHMS reflects this by displaying separate statuses in the Status field.

Finalizing a pregnancy completes the pregnancy timeline in LinkHMS by recording the outcome and closing the active pregnancy record within the patient’s history.

💡Notes

Before finalizing a pregnancy, review the pregnancy information for accuracy, confirm the fetus count and labels (for multiple pregnancies), and ensure all key ultrasound findings and attachments are recorded. Once finalized, the record remains available for review but can no longer be edited.

Finalizing the Pregnancy

💡Notes

In LinkHMS, pregnancy finalization can follow one of two options: Live Birth / Stillbirth or Miscarriage / Abortion. Your need to select the option that matches the pregnancy outcome, as it determines which fields appear next.

Pregnancy Finalization: Live Birth or Stillbirth

  • Enter labour and delivery information first. The following fields are mandatory:

  • Date and Time of Onset of Labour – Record the date and time labour started.
  • Type of Labour – Select the type of labour (Spontaneous, Induced, Augmented)
  • Delivery Type – Choose the delivery type from the dropdown options (Vaginal Spontaneous, Vaginal Assisted, Emergency C-section, Elective C-section)
  • Additional fields may be completed if available:
  • Duration of Labour (First Stage, Second Stage, Third Stage) – Document the duration of labour by stage.
  • Anaesthesia Used – Indicate whether anaesthesia was used and select the applicable type (Epidural, Spinal, General, None) 

💡Notes

After entering the labour and delivery details, proceed to the newborn details. Newborn information is recorded per fetus, meaning each fetus in the pregnancy requires a separate outcome and birth record. This is especially important for multiple pregnancies, where outcomes may differ.

  • Mandatory fields per fetus include:
  • Pregnancy Outcome – Choose Live Birth or Stillbirth as the outcome. Selecting Miscarriage or Abortion will display termination-specific fields.

  • Order of Birth – Choose the birth order for the newborn (Baby 1, Baby 2, Baby 3+, etc.). If the pregnancy includes only one fetus, the field is disabled and Baby 1 is selected by default.
  • Date and Time of Birth – Record the date and time of birth.
  • Sex – Select the sex of the newborn (Male, Female, or Indeterminate)
  • Birth Weight (g) – Enter the newborn’s birth weight in grams.
  • Condition at Birth – Choose the condition at birth (Alive and well, Resuscitation needed, Stillbirth). If Condition at Birth is set to Resuscitation needed, the Resuscitation Measures Used field becomes mandatory.
  • Resuscitation Measures Used – Select the resuscitation measures used. (None, Stimulation, Suction, Oxygen, Ppv, Chest Compressions, Other)
  • Other fetus fields may be entered where relevant for the newborn:

  • Birth Length (cm) – Record the newborn’s birth length in centimeters.
  • Head Circumference (cm) – ​​Record the head circumference.
  • Gestational Age at Birth – The gestational age at birth is auto-filled based on the pregnancy record.
  • Apgar (1 min and 5 min) – Specify the Apgar scores at 1 minute and 5 minutes.
  • Immediate Complications – Record any immediate complications observed. (None, Shoulder Dystocia, Cord Prolapse, Meconium Aspiration, Asphyxia, Birth Trauma, Other)
  • NICU Admission – Specify whether NICU admission is required. (Yes/No) If NICU admission is set to Yes, the NICU reason field becomes mandatory.
  • NICU Reason –  Choose the reason for NICU admission. (Respiratory Distress, Sepsis Evaluation, Prematurity, Hypoglycemia, Jaundice Treatment, Other)

💡Notes

For multiple fetuses, repeat the process to record details for each one. If outcomes differ between fetuses (for example, one live birth and one stillbirth), record each fetus separately in the per-fetus section. If required, click the + Add Fetus button to record the additional fetus.

Pregnancy Finalization: Miscarriage or Abortion

💡Notes

If the pregnancy outcome is Miscarriage or Abortion, LinkHMS switches to the termination record format. This ensures that only relevant termination details are recorded, without requiring unrelated labour or delivery fields for the chosen fetus.

  • Common fields include:
  • Pregnancy Outcome – Choose Miscarriage or Abortion as the outcome. 
  • Type – Choose the applicable type (Spontaneous miscarriage, Missed miscarriage, or Induced abortion).
  • Method Used – Record the method used (Medical, Surgical, or Expectant management)
  • Products of Conception Complete – Document completion of products of conception (Yes/No).
  • Complications – Add any complications by choosing the appropriate option (None, Haemorrhage, Infection, or Other).

Recording Maternal Outcome (applies to all pregnancy outcomes)

💡Notes

This section helps ensure the pregnancy record reflects both fetal and maternal outcomes.

  • Regardless of which pregnancy outcome is chosen, you need to record maternal outcome information to complete the clinical picture. The fields include:

  • Maternal Complications – Choose the applicable maternal complication from the dropdown (None, Postpartum, Haemorrhage, Tears/Episiotomy, Infection, or Other)
  • Blood Loss Estimate (ml) – Record the blood loss estimate in milliliters.
  • Uterine Tone After Delivery – Select the uterine tone after delivery. (Good or Atonic)
  • Postpartum Plan – Record the postpartum care plan.

Confirming the Pregnancy Finalization

  • Finalization should occur once outcomes are known. Use the Save button to record any required updates before finalization.

After Confirming the Pregnancy Finalization

Once a pregnancy is finalized:

  • The pregnancy record remains available for review.

The Ultrasound subtab is used to document ultrasound findings during an active pregnancy. It supports the following record management:

  • Mother’s ultrasound records
  • Fetal ultrasound records for each fetus 

It allows clinicians to record ultrasound findings consistently, especially in multiple pregnancies, while keeping a clear history for later review.

Accessing the Ultrasound Subtab

  • Open the Pregnancies tab.

The system expands subtabs once a pregnancy is marked as ongoing. If there is no active pregnancy, the Ultrasound subtab will not be available.

  • Select Ultrasound from the pregnancy subtabs.

Switching between Mother and Fetus Ultrasound Views

  • At the top of the Ultrasound subtab, find the selection buttons to switch between different views:
    • Mother
    • Fetus A, Fetus B, Fetus C, and so on (depending on the pregnancy).

  • Select a necessary button to switch the form to the corresponding data set.

Each view represents a separate record, so Mother and each fetus have separate records and histories. Make sure the correct view is selected before entering or reviewing information.

Managing Mother Ultrasound Records

When the Mother view is selected, it allows you to document maternal ultrasound findings. You can save a record when at least one field has been entered.

Adding the Mother Ultrasound Record with File Attachments

  • Filling in all fields is optional, so you can choose between the necessary fields, including:

  • Placenta Location – Select the placenta location from the available options. (Anterior, Posterior, Fundal, Low-lying, Previa, Other)
  • Placenta Maturity/Grade – Specify the placenta maturity or grade. (Grade 0, Grade I, Grade II, Grade III)
  • Amniotic Fluid Index (AFI, cm)Enter the AFI value in centimeters.
  • Single Deepest Pocket (SDP, cm) – Specify the SDP measurement in centimeters.
  • Cervical Length (mm) – Record the cervical length in millimeters.
  • Uterine/Ovarian Abnormalities – Indicate uterine or ovarian abnormalities. (None, Present)
  • Comments – Add notes if needed.

Ultrasound records often require supporting files such as images, PDF reports, or scans. These files can be uploaded and attached directly within each added ultrasound record.

  • If you need to attach a file to this ultrasound record, click Attach File.

  • Click the Choose Files on Your Computer button to select the required files.
  • The uploaded file must follow the supported formats and size limitations.

  • Add optional comments (up to 100 characters)
  • Click the Upload button to attach the file.

  • Each row shows the recorded findings, the entry date, the recorder, and any attached files.

  • Open the three-dot menu and select Review to view the ultrasound record in full detail.

After selecting Fetus, LinkHMS presents individual views for each fetus (e.g., Fetus A, Fetus B), so you can choose the one you want to add ultrasound records for.

Adding and Removing Fetuses

💡Notes

The Ultrasound subtab controls fetus management. When you add or remove fetuses here, the system automatically updates the Number of Fetuses in the Pregnancy Info subtab.

  • Click the + button to add the new fetus.

  • To keep pregnancy records clear and consistent, LinkHMS uses a stable fetus naming system:
  • If a pregnancy starts with one fetus and another is added, the original Fetus 1 is renamed Fetus A, and the new fetus is labeled Fetus B.
  • If Fetus B is later removed, Fetus A keeps its original name.
  • Any additional fetuses are labeled sequentially (Fetus C, Fetus D, and so on).
  • Once a letter is assigned to a fetus, it remains permanently linked to that fetus, even if the fetus is later removed.
  • Each fetus label includes an x icon for deletion.
  • Click it to delete the fetus.

  • A confirmation pop-up appears to verify the fetus removal. Click Remove to proceed or Cancel to stop.

This action cannot be undone. Existing data will remain available in read-only mode and will be displayed in grey, and the number of fetuses in Pregnancy Info will be updated automatically.

Adding the Fetus Ultrasound Record with File Attachments

Make sure to enter data for one fetus at a time.

  • Select the fetus you want to document the ultrasound findings. You can save a record when at least one field has been entered.
  • You can record the following data in the included fields for each fetus.

  • Fetal Heart Rate (FHR, bpm) – Record the FHR measurement.

  • Biometry – Biparietal Diameter (BPD, mm) – Document the biparietal diameter measurement.
  • Biometry – Head Circumference (HC, mm) – Add the head circumference under Biometry.
  • Biometry – Abdominal Circumference (AC, mm) – Record the abdominal circumference in the Biometry section.
  • Biometry – Femur Length (FL, mm) – Enter the FL measurement in millimeters.
  • Biometry – Crown–Rump Length (CRL, mm) – ​​Record the crown–rump length.
  • Estimated Foetal Weight (EFW, g) – Enter the EFW in grams.
  • Growth Percentile – Specify the growth percentile value.
  • Anatomy Survey (Structural Abnormalities) – Indicate the anatomy survey result. (Normal, Abnormal)
  • Fetal Movements Observed – Select the fetal movement status. (Normal, Reduced, Absent)
  • Doppler – Umbilical Artery (UA) – Enter the umbilical artery measurement.
  • Doppler – Middle Cerebral Artery (MCA) – Specify the middle cerebral artery measurement.
  • Doppler – Ductus Venosus (DV) – Record the ductus venosus value.
  • Comments – Add additional text notes.

The Mother Check-Up subtab is used to record routine antenatal assessments. It is designed for visits during which you capture measurements, observations, and symptoms that may change over time, and then review them later as a clear clinical timeline.

Opening the Mother Check-Up Subtab

  • Go to the Pregnancies tab.

💡Notes

If there is no ongoing pregnancy, the Mother Check-Up subtab will not be available. You will need to start the new pregnancy to access the subtab and open the active pregnancy record.

  • Select Mother Check-Up from the pregnancy subtabs to add records.

Adding the Mother Check-Up Record

💡Notes

All fields in the Mother Check-Up subtab are optional. However, LinkHMS only allows you to save a record when at least one field has been entered.

  • Record any relevant findings for the antenatal visit. Common fields include:
  • Systolic BP (mmHg) – Enter the systolic blood pressure.
  • Diastolic BP (mmHg) – Record the diastolic blood pressure.
  • Heart Rate (bpm) – Specify the heart rate in beats per minute. 
  • Respiratory Rate (/min) – Enter the respiratory rate per minute.

  • Weight (kg) – Record the patient’s weight in kilograms. 
  • Fundal Height (cm) – Enter the fundal height in centimeters.
  • Edema – Choose the edema level from the available options. (None, Mild, Moderate, Severe)

  • Pallor (Anemia Check) – Indicate the pallor severity for anemia assessment. (None, Mild, Severe)
  • Jaundice – Select Yes or No from the dropdown.
  • Urine Dipstick – Select the urine dipstick result. (Normal, Abnormal)

  • Hemoglobin (Hb g/dL) – Enter the hemoglobin level.
  • Fetal Movements (after 20 w) – Use the dropdown to select Yes or No.
  • Presentation / Lie (≥28w) – Use the dropdown to select the fetal position (Cephalic, Breech, Transverse, or Other).
  • Vaginal bleeding / discharge / abdominal pain – Choose Yes or No using the dropdown menu.
  • Headache / blurred vision / convulsions – Select Yes or No from the dropdown.

  • Amniotic fluid leakage suspected – Use the dropdown to select Yes or No.
  • Comments – Leave additional text-free notes.

  • Once the required fields are completed, click the + Add New Record button.

  • The new entry appears immediately in the check-up table below.

💡Notes

Mother Check-Up records also automatically pre-fill Vital Signs with such key measurements as systolic BP, diastolic BP, heart rate, respiratory rate, and weight. This reduces repeated data entry and keeps vital sign documentation aligned with antenatal records.

Reviewing the Mother Check-Up Records

  • Each row displays the recorded values for the entry, Record Date, a Recorded by column with the clinic representative’s full name, and horizontal and vertical scrolling to support multiple fields.

  • Any field without data is displayed as a dash to show that the value was not recorded.

  • Use the three-dot menu and select Review to view the record in detail.

Excluding the Check-Up Records

  • You can also exclude added records by selecting Exclude from the three-dot menu.

  • When a record is excluded, it is greyed out in the table to remain visible for historical reference and review, including after pregnancy finalization.

Reviewing and Updating Pregnancy Details

💡Notes

This subtab provides a single view of all key pregnancy information, so you don’t have to search across multiple visits. Most of the information is automatically populated from the details you entered when creating the pregnancy. However, most fields in Pregnancy Info are still editable during an active pregnancy. This keeps the record accurate as clinical information changes over time.

  • Pregnancy Info displays the pregnancy record details, including:
  • Last Menstrual Period (LMP) – Review or update the last menstrual period date.

💡Notes

If you edit LMP, the system updates the automatically calculated EDD (unless EDD was manually overridden) and the pregnancy indicator showing gestational age.

  • Estimated Due Date (EDD) – Check the estimated due date. (EDD cannot be earlier than LMP, commonly calculated automatically by the system)

💡Notes

If EDD was manually overridden, the manual value remains unchanged even if LMP is later updated.

  • Gestational Age (LMP) – Review the value, which the system calculates from the entered LMP and cannot be edited.

  • Gestational Age (Ultrasound) – Check the gestational age from ultrasound results.
  • Pregnancy Number – Update the patient’s pregnancy number if required.
  • Pregnancy Type – Use the dropdown to select or update the option that applies.(Natural conception, With fertility medication, IVF / ICSI, Insemination (IUI), Donor egg or sperm, Other / Prefer not to say)
  • Number of Fetuses – Review the value, as it is read-only and automatically reflects the active fetus count from the Ultrasound subtab.

  • Abortions – Specify the number that applies.
  • Living Children – View or update the count as needed.

  • Attending Physician – Review the selected physician, or choose from system users via a searchable dropdown, or enter free-text manually.

  • Previous Pregnancies – Access previous notes and add new ones.

  • Updates in this subtab are allowed while the pregnancy is ongoing and are disabled once it is finalized. After finalization, Pregnancy Info remains available for review only, and gestational age calculations stop at the pregnancy end date.

Use the Pregnancies Info subtab to review key pregnancy information and confirm the basics, then continue documentation in relevant subtabs, such as Mother Check-up, Ultrasound, etc.

The antenatal pregnancy tracking module in LinkHMS is designed to help clinical teams record, monitor, and complete pregnancy care in a structured, continuous manner. Instead of spreading pregnancy-related information across multiple visits and notes, LinkHMS keeps it connected, following the patient from the start of pregnancy to its outcome.

With the pregnancy module, you can:

  • Create a pregnancy record anchored to a clear clinical starting point
  • Track gestational progress automatically over time
  • Document antenatal checkups and ultrasound findings as the pregnancy progresses
  • Attach and manage pregnancy-related files
  • Finalize outcomes with a reliable, locked record
  • Review a patient’s full pregnancy history when planning future care

Managing Pregnancy Care with LinkHMS

Pregnancies are handled as a long-running clinical record, similar to an admission, but with a much longer duration. A pregnancy can remain ongoing for months, during which the patient may have multiple visits or admissions, both related and unrelated to pregnancy.

While a pregnancy is ongoing:

  • The pregnancy remains visible across visits.
  • All previous records from other tabs remain accessible.
  • Pregnancy-specific information stays grouped together until the pregnancy is finalized.

Accessing the Pregnancies tab

The Pregnancies tab is displayed for all patients whose gender is set to Female or Other.

What appears inside the tab depends on the patient’s pregnancy status:

  • If the patient has no pregnancy records, the tab is empty and ready to start a new pregnancy.

  • If the patient has had previous pregnancies but none are currently ongoing, the tab displays the Pregnancy History table.

  • If the patient has an ongoing pregnancy, the tab opens the pregnancy workflow with relevant subtabs.

Starting a pregnancy record

Pregnancy tracking begins from the Pregnancies tab. If the patient has no ongoing pregnancy, the tab displays an Add Pregnancy action.

It opens a short creation form to add the pregnancy.

💡Notes

The key requirement at this stage is the Last Menstrual Period (LMP). LMP is required because it serves as the clinical anchor for the entire pregnancy timeline. Once entered, LinkHMS immediately calculates the current gestational age and the estimated due date.

After the pregnancy is created, the record becomes active, and additional pregnancy-related sections become available automatically.

Tracking gestational age and pregnancy visibility

Once a pregnancy is ongoing, LinkHMS keeps gestational information up to date without manual entry.

To keep the pregnancy context visible across the system, a pregnancy indicator appears next to the patient’s name, showing the current gestational age. This indicator also provides quick access to pregnancy details.

  • Gestational age is calculated from LMP and displayed in weeks and days.
  • At each patient visit, gestational age is recalculated based on the visit date.
  • If the pregnancy passes its estimated due date, it is visually marked as overdue.

Pregnancy History helps clinicians quickly understand prior pregnancy outcomes without reviewing unrelated visits or notes, making it especially valuable for follow-up care and future pregnancies.

Managing the Module Access and Permissions

LinkHMS follows role-based access controls for the pregnancy module.

  • Clinical roles such as Admins, Doctors, Nurses, and Individual Practitioners can create, review, and edit pregnancy records while they are active.
  • The pregnancy status indicator next to the patient name is visible to all roles, ensuring shared awareness across the care team.

You can create a new pregnancy record when:

  • The patient’s gender is set to Female or Other.
  • The patient has no ongoing pregnancy.
  • Your role has permission to create pregnancy records. The Admin, Doctor, Nurse, and Individual Practitioner can add the pregnancy.

💡Notes

If the patient already has an ongoing pregnancy, the Add Pregnancy button is not activated. There is no option to add a second pregnancy. In that case, you add records inside the existing pregnancy record.

Required field – Last Menstrual Period (LMP)

Last Menstrual Period (LMP) is a mandatory field because it anchors the pregnancy timeline and is used to calculate gestational age and the due date.

  • Enter the date of the last menstrual period using a date picker.
  • Future dates are not allowed.

  • Once added, LMP is used to calculate Gestational Age (LMP) and Estimated Due Date (EDD). These fields are filled automatically by the system based on the entered LMP.

If the LMP was entered incorrectly, it can be updated later from the Pregnancy Info subtab.

Optional fields

You can fill in other fields in immediately or return to update them later in the Pregnancy Info subtab.

  • Gestational Age (Ultrasound) – Specify the gestational age based on ultrasound findings.
  • Pregnancy Number – Select a number from the picker.
  • Pregnancy Type – Choose the relevant options from the dropdown (Natural conception, With fertility medication, IVF / ICSI, Insemination (IUI), Donor egg or sperm, Other / Prefer not to say)
  • Number of Fetuses – Specify the number (The Number of Fetuses value must be less than 11).
  • AbortionsSelect the number.
  • Living ChildrenChoose the number that applies. 
  • Attending Physician –  Start typing the name to search for and select the patient’s physician.
  • Previous Pregnancies – Add any text notes (for example, live birth, miscarriage, stillbirth, termination, etc.)
  • Complications / Risk Indicators / Comments – Use this field to note regarding complications, risk indicators, or comments.
  • High-Risk – Check this box to indicate a high-risk pregnancy. It is unselected by default.

Baby’s Father Details (optional)

  • Name – Enter the father’s name, or search the patient list if the father is linked to an existing patient in the system. Details such as Blood Type, Rh Factor, and Phone are extracted automatically and shown as non-editable in this section. They update if the father’s patient record is updated.

If the father is not linked to an existing patient in the system, enter the following fields:

  • Blood Type – Select the blood type from the dropdown options. (A, B, AB, O, Unknown)
  • Rh Factor – Specify the Rh factor (Positive or Negative).
  • Phone – Enter the father’s phone number.
  • Once the required information is entered, select Create to save the new pregnancy record.

  • You can also click Cancel at any time to close the pop-up without saving.

After Adding the Pregnancy

  • Once the pregnancy record is created, it becomes active and shows an Ongoing status.
  • The pregnancy workflow subtabs become available:
    • Pregnancy Info
    • Mother Check-Up
    • Ultrasound
    • Finalize Pregnancy
    • Postnatal Care

  • A pregnancy indicator also appears next to the patient’s name, showing current gestational age (for example, 18w). Gestational age updates automatically on each visit based on LMP and visit date.

  • If the pregnancy passes its EDD, the indicator changes color to show it is overdue.

This functionality is integrated across multiple tabs of the LinkHMS system, primarily to simplify note-taking during visits and admissions. You can activate the speech-to-text functionality by selecting the microphone icon in the relevant block or field.

  • Locate the necessary block to be filled. If it contains the microphone icon, you can use speech-to-text dictation.

  • Click Allow while visiting the site in the pop-up near your browser’s address bar to grant microphone access.

The full medications chart provides detailed records throughout the prescription period, giving staff a complete overview of medication activity from start to finish. It compiles all entries submitted through the log dose feature and makes it easy to track what was given, what was missed, and why certain doses were excluded.

Accessing the Full Medications Chart

  • Open the administration chart from the patient’s profile or from the prescription tabs within any active admission or visit. You can access it from whichever tab is most convenient.

  • It opens the Medications Chart that presents a detailed overview of all medication activity, compiled from every dose recorded during the prescription period.

Using the Medications Chart

The medications chart is an alternative to the drug administration chart, displaying the administration calendar across multiple dates. It offers a multi-date view of medication administration, unlike the main chart’s single-day focus.

Viewing and Logging the Prescribed Medications Doses

  • Use the search bar to match medication names and easily find the medicine card for a detailed overview.

  • Locate the required prescribed medicine card, which also includes prescription details and administration instructions. Open the full view to review the multi-date administration calendar for a chosen prescribed drug.

  • Each prescription has its own table, with cells for each date sorted chronologically from right to left. The cell also lists the user who logged the dose and the administration time.

  • You can click a cell to open a Log Dose popup that displays the dose record details in a read-only format.

The table cells are not editable. The only way to edit the table is by logging a new dose via the Log Dose button. Every medication card features an active Log Dose button unless the prescription is set to Excluded. 

  • Use the Log Dose button to add the new dose of the prescribed medication.

  • A pop-up opens showing the drug administration details.

💡Notes

The Medicine field is locked to ensure accurate dose logging. The other fields are pre-filled with the relevant prescription information to save your time.

  • Modify the pre-filled fields as necessary, updating any details before saving.

  • Specify whether the dose was Administered or Not Administered.
  • Click the Administered button to mark the dose as completed, add it to the medicine calendar, and adjust the card’s status accordingly.

  • Click Not Administered and choose a reason to record an ungiven dose. This updates the card status with a non-administered record and appears in the administration calendar.

  • After logging the dose and selecting the appropriate status, click Cancel or the × in the corner to close the pop-up and return to the medications chart.

Viewing and Logging the Non-Prescribed Medications

💡Notes

All records for non-prescribed medications are collected in the non-prescribed medications log.

  • The view remains the same as in the administration chart. The logged non-prescribed medications are displayed in the list, sorted chronologically with the newest at the top.

  • You can also use the Log Dose button to record new doses of non-prescribed medications.

  • A pop-up appears to enter non-prescribed medication details before logging the dose.
  • Fill out all required fields, such as Medicine, Route, Dosage Form, Strength / Concentration, Units, Amount per Use, Date, Time, and Comments.

  • Choose if the dose is Administered or Not Administered.
  • Click the Administered button to record that the non-prescribed medication was given.

  • Use the Not Administered button and pick a reason (Hold, Refused, Missed, Other) to record an ungiven dose.

  • After logging the non-prescribed medicine dose and its status, you can close the pop-up by clicking Cancel or the × in the corner.

Viewing the Medication Statuses

💡Notes

Statuses refresh automatically, with no additional steps required from clinic staff. The system updates medication statuses based on the logged dose record, prescription frequency, and active prescription dates.

  • You can open the non-prescribed medications log to view the recorded status for each logged medicine. The statuses help to categorize administration activity.
  • Administered appears when the patient successfully received the dose.
  • Hold, Refused, Missed, or Other are shown when a dose was not given, reflecting the selected reason.
  • Excluded indicates that the dose was intentionally removed from the record.

  • When you open the prescribed medication card, you’ll see the multi-date administration calendar table.

💡Notes

This table doesn’t use the usual status column; instead, each cell is color-coded to indicate the status specified during dose logging. Logged doses of prescribed medication follow the same color scheme used across all medication tabs.

  • Green for the logged doses with the Administered status
  • Amber for the logged doses with the Hold, Refused, Missed, and Other statuses.
  • Red for the logged doses with the Excluded status.
