What is being deployed and why?

We are deploying a new functionality to the Student Communication Tool (SCT) that allows staff members to send emails on behalf of a UBC email group. This will increase flexibility in addressing issues effectively and improving communication with students. For Official Document Management Tool (ODMT) an enhancement that allow multiple students number search for Staff Members in the Document Log.

Who is impacted?
Primary Users:
Enrolment Services Records staff processing transcript requests, parchments, and courier shipments
Graduate Studies staff managing document orders and FedEx shipping
Communications staff using SCT to send emails with attachments to students
Secondary Impact:
ODMT users (students and staff) will experience temporary inability to access ODMT during the 60-minute maintenance window
Students with financial holds will now be correctly identified in the system
Students receiving official transcripts will receive properly formatted documents
System Impact & Availability
During Maintenance (120 minutes):
ODMT will display a maintenance page to all users
Students cannot access ODMT to place new orders or check order status
Staff cannot process orders or update tracking information
SCT will remain available
After Maintenance:
All systems will return to normal operation
New features will be immediately available to staff




Detailed Feature Information
What is the new way of doing things?

For Student Communication Tool (SCT):

Before:


Emails are sent from a system "No-reply" address.

Low student engagement and virtually no replies.

No easy way for students to respond with questions.




After:


Users can manually set the Sender and Reply-To email addresses.

Emails can be sent from a departmental group email.

Students can reply easily, engagement improves, and responses go to a monitored shared inbox while staff identities remain hidden.

The Conversion Management System (CNVM) will undergo planned maintenance on March 19, 2026, starting at 10:00 PT. Intermittent issues may occur, but the system will remain accessible, and users should be able to log in.

The TouchNet TEST site will be undergoing scheduled maintenance. During the update window the TouchNet TEST site will be offline for logging in by staff as a TouchNet user and for making TEST payments.

UBC IT Domain Name System (DNS) Maintenance March 25, 2026, 17:30-23:30 PT Mar 25, 2026 17:30-23:30 PDT

UBC IT Network Management Centre (NMC) will be conducting maintenance on its DNS servers on March 25, 2026, between 17:30-23:30 PT.
Access to myDNS user interface may be intermittent during this time.

UBCIT eSAM Servers Maintenance MARCH 25, 2026, 20:00-23:00 PT Mar 25, 2026 20:00-23:00 PDT

UBCIT will be performing maintenance on the eSAM component and vault servers on March 25, 2026, 20:00-23:00 PT. This change will affect both UBC campuses.

Users will intermittently not be able to login to any servers managed by eSAM, nor retrieve any credentials via the eSAM Web UI throughout the maintanance window.

Any connections terminated while a component is being rebooted can be reconnected to the secondary node. All connections will be terminated and users won't be able to reconnect while we patch the vault servers (which typically lasts around 30 minutes) during this window.

UBC Identity Provider Maintenance March 26, 2026 07:00-08:30 PT Mar 26, 2026 07:00-08:30 PDT

The UBC Identity Provider will be undergoing maintenance on March 26, 2026 07:00-08:30 PT.

This maintenance is for a version upgrade.

Users may experience a brief interruption to EPBC, SRAS, CWL authentications, and CWL account signup, during this window. Any active sessions will be momentarily terminated and users will be required to log in again. Normal service is expected to resume quickly.

TouchNet PROD site - Scheduled Maintenance Mar 27, 2026, 00:00 PT - 04:00PT Mar 27, 2026 00:00-04:00 PDT

The TouchNet PROD site will be undergoing scheduled maintenance. During the update window the TouchNet PROD site will be offline for logging in by staff as a TouchNet user and for customers making new payments. During this time when the payor clicks "pay now" TouchNet will display a screen informing the payor that the system is off line for maintenance and to try again after the system is back online.
