FileOrbis Launches a CodeLab for Young Students

Turning Shared Success into Opportunity

Some of the most meaningful moments in life are not found in reports or presentations — they’re found in the spark in a child’s eyes.

Recently, we launched the FileOrbis CodeLab, a fully equipped coding and robotics workshop established at a primary school to introduce young students to technology at an early age. More than 150 students from grades 1 through 4 now have access to computers, robotics kits, electronic circuits, and a 3D printer — tools that allow them to explore, experiment, and build.

For many of these children, this is their first hands-on experience with coding and digital creation. And that’s exactly why this initiative matters.

As a technology company, we spend our days building secure digital environments and helping organizations manage their data. But we also believe that technology carries a broader responsibility: expanding access to knowledge and creating opportunity where it can make a lasting difference.

The CodeLab was established with a simple idea in mind — to turn collective success into shared impact. Instead of sending traditional year-end corporate gifts, we chose to dedicate that budget to something long-term and meaningful on behalf of our customers and partners. Something that would continue to grow.

This isn’t just a classroom.
It’s a space for curiosity.
A place where problem-solving begins early.
A message to every child that says: you can build the future, too.

The project was made possible with the generous volunteer support of educator Halit Fethi Kesici, who helped set up the lab and guide teacher training. Students are now participating in structured sessions focused on coding fundamentals, robotics thinking, and project-based learning.

Looking ahead, we’re excited to expand this initiative with a mentorship program. Our goal is to connect students with professionals who can share real-world experiences, answer questions, and inspire confidence. Because sometimes, what makes the biggest difference isn’t just access to tools — it’s access to role models.

At FileOrbis, we believe business and responsibility should move forward together. The CodeLab is one small step in that direction — and we’re incredibly proud of what it represents.

And this is only the beginning. With the continued support of our customers, partners, and team members around the world, we hope to establish many more CodeLabs in the future — opening new doors, inspiring young minds, and turning shared success into lasting opportunity for the next generation.

Enterprise Document Governance in 2026: How to Secure Files in the Age of AI

Enterprise document governance has entered a new era. What was once considered a back-office IT function is now a critical pillar of data security, regulatory compliance, and AI readiness. In 2026, organizations that fail to modernize how they govern documents face growing operational risk, uncontrolled AI exposure, and increasing compliance pressure.

The reason is simple: documents sit at the center of how businesses operate—and how AI systems learn, reason, and respond.

Why Document Governance Is No Longer Optional

Most enterprise data breaches, compliance violations, and AI misuse incidents do not originate from structured databases. They originate from unstructured content—documents, files, contracts, reports, emails, and shared workspaces.

Yet many organizations still manage documents using outdated assumptions:

  • That files live in one system
  • That access control is user-centric
  • That governance can be applied after content is created

These assumptions no longer hold.

Modern enterprises operate in distributed environments where documents are created and shared across multiple platforms, cloud services, business applications, partners, and AI workflows. Without a centralized governance approach, this distribution quickly turns into loss of control.

From Centralized Storage to Centralized Governance

The future of document management is not centralization—it is federation with centralized governance.

Documents will continue to live across Microsoft 365, file servers, cloud repositories, collaboration tools, and line-of-business systems. What must be centralized instead are the rules that govern them:

  • Identity and access context
  • Data classification and sensitivity
  • Usage, sharing, and auditability
  • Retention and disposal policies

Organizations that rely on platform-specific controls alone create fragmented security postures. Each system may appear compliant on its own, while the enterprise remains exposed as a whole.

Governance Must Start at Creation

One of the most common document governance failures is timing. Policies are defined, but enforcement happens too late.

In an AI-enabled environment, governance must begin at the moment a document is created or ingested. Classification, access rules, and usage policies should be applied automatically—not left to user discretion or manual processes.

Retroactive governance is no longer sufficient. Once a document is shared, copied, or consumed by AI, risk has already materialized.

Why Traditional Access Control Is No Longer Enough

Authorization alone does not equal control.

Modern document ecosystems involve more than human users. Systems, integrations, automation tools, and AI models access and process content continuously. If access models do not distinguish between human, system, and AI access, organizations lose visibility into how information is actually used.

Context matters:

  • Who accessed the document
  • Through which system
  • For what purpose
  • Whether access was human-initiated or AI-driven

Without contextual auditability, enterprises can prove access occurred—but not whether it was appropriate.

AI Changes Everything About Document Security

AI represents the biggest governance inflection point for enterprise documents.

AI systems do not understand sensitivity unless explicitly enforced. Treating AI as just another user creates uncontrolled exposure to legal, regulated, strategic, and personal data.

AI access must be governed separately, with clear boundaries defining:

  • Which documents AI can access
  • Which documents AI must never see
  • How AI-generated outputs can be traced back to source content

Retrieval-augmented generation (RAG) makes this even more critical. Organizations must be able to explain which documents informed an AI response and why. Without this traceability, AI outputs become difficult to validate, audit, or defend.

Operational Impact: The Hidden Cost of Poor Governance

Weak document governance does not only create security risk—it quietly damages productivity.

Employees waste time searching for files, working from outdated versions, and managing manual controls that slow collaboration without reducing risk. These inefficiencies rarely appear in dashboards, yet they compound daily across teams and processes.

Modern document governance focuses on continuous visibility rather than reactive audits—reducing friction while strengthening control.

Preparing for 2026 and Beyond

In 2026, document governance is no longer about storage or file sharing. It is about enabling secure collaboration, regulatory confidence, and responsible AI adoption—without sacrificing speed.

Organizations that treat document governance as a strategic control layer will be better positioned to scale AI, meet compliance requirements, and operate with confidence.

This is the approach embedded in how FileOrbis helps enterprises govern unstructured data across distributed environments—by combining centralized governance, contextual security, and AI-ready controls.

Because in the era of AI, documents are no longer passive assets. They are active participants in enterprise risk—and opportunity.

How FileOrbis Turned Growth into Impact

As we close out 2025, it feels like the right moment to pause and look back — not just at the numbers, but at what they truly represent.
This year was about turning intention into impact.

It started with building. Thousands of new lines of code came together to deliver four brand-new FileOrbis products. Behind that work was a growing team — our headcount increased by 25%, bringing together more people who care deeply about solving real document and data challenges for enterprises.

With that foundation in place, FileOrbis continued to expand globally. We now operate across 30+ countries, with offices in KSA, UAE, Poland, and the USA, supporting customers across APAC, EMEA, and North America. Growth, for us, has never been about being everywhere — it’s been about being present where it matters.

That presence translated into trust. In 2025, 450+ enterprise customers chose FileOrbis, and that trust scaled to more than 2 million users working with their documents securely every day. Along the way, our ecosystem grew too, with 20+ new distributors, technology partners, and resellers joining us on this journey.

What matters most, though, is how customers experience what we build. Being rated 4.9 out of 5 based on 91 reviews, and being recognized as a Strong Performer in the Gartner Peer Insights Document Management 2025 report, was a meaningful validation of that effort.

Beyond products and platforms, 2025 was also about people. We had the chance to meet, listen to, and learn from more than 10,000 professionals across industry events worldwide. Those conversations continue to shape how we think about the future of document management.

As we look ahead, our wish for 2026 is simple: to keep helping enterprises work with their documents more safely, more intelligently, and with greater confidence — every day, everywhere.
Thank you to our customers, partners, and team for being part of this journey. We’re just getting started.

Secure Document Management for Governance

Secure Document Management (SDM) systems play a vital role in establishing and maintaining effective data governance within an organization. Data governance encompasses the policies, standards, processes, and controls for managing an organization’s data assets. SDM solutions provide the technological framework to enforce these governance principles, particularly for unstructured data like documents, files, and records.

Here’s how Secure Document Management, particularly with features like those found in FileOrbis, helps data governance:

Enhanced Data Security & Protection

  • Governance Principle: Data must be protected against unauthorized access, corruption, or theft.
  • SDM Role: SDM systems employ robust security measures like encryption (both for data at rest and in transit), preventing unauthorized access even if data is intercepted. They integrate with other security tools (like anti-malware, Data Loss Prevention – DLP) to offer layered protection.
  • FileOrbis Features: FileOrbis provides advanced threat protection, integration with security tools (Anti-Malware, DLP, Sandbox), data encryption, data masking, and real-time security alerts to safeguard information.

Strict Access Control

  • Governance Principle: Access to data should be based on roles and responsibilities (least privilege principle).
  • SDM Role: SDM allows administrators to set granular permissions, defining who can view, edit, share, or delete specific documents or folders. Features like Role-Based Access Control (RBAC) and Multi-Factor Authentication (MFA) further secure access.
  • FileOrbis Features: FileOrbis’s Access Manager offers granular, dynamic role-based access controls, MFA, and secure collaboration tools, ensuring only authorized personnel access sensitive files.

Compliance & Risk Management

  • Governance Principle: Data handling must comply with legal, regulatory (like GDPR, HIPAA, CCPA), and internal policies.
  • SDM Role: SDM systems facilitate compliance by providing tools for automated policy enforcement (e.g., retention schedules, access rules), comprehensive audit trails for accountability, and features to manage data subject requests (like access or deletion).
  • FileOrbis Features: FileOrbis aids compliance through detailed audit trails, automated policy enforcement, data discovery tools to locate sensitive data (including PII for regulations like GDPR), specific compliance modules, and reporting capabilities. It supports creating organization-wide security protocols.

Data Quality & Lifecycle Management

  • Governance Principle: Data should be accurate, consistent, and managed throughout its lifecycle (creation, storage, use, archival, deletion).
  • SDM Role: SDM systems provide version control to track changes, centralized storage to prevent data silos and duplication, and tools for classifying and organizing documents, improving data accuracy and consistency. They also manage retention and disposition policies.
  • FileOrbis Features: FileOrbis enables data classification and tagging, policy enforcement for retention, content analysis to ensure data quality, and secure destruction capabilities, supporting the entire data lifecycle.

Auditability & Transparency

  • Governance Principle: Organizations must be able to track data access and modifications for accountability and compliance.
  • SDM Role: SDM systems maintain detailed, immutable logs (audit trails) of all user activities related to documents – who accessed what, when, and what changes were made.
  • FileOrbis Features: FileOrbis provides comprehensive audit trails and reporting tools across its modules (Access Manager, Security Manager, Data Governance Manager), offering transparency into data activities and supporting internal/external audits.

Centralization and Organization

  • Governance Principle: Data should be managed centrally to ensure consistency and avoid fragmented data landscapes.
  • SDM Role: SDM provides a central, secure repository for documents, making them easier to find, manage, and govern consistently.
  • FileOrbis Features: FileOrbis acts as a consolidating platform, managing various file systems (file servers, network disks) through a single interface, enabling integrated management and access control.

In essence, a secure document management system like FileOrbis operationalizes data governance policies for documents and files. It provides the necessary controls, security measures, and visibility to ensure data is handled securely, compliantly, and effectively throughout its lifecycle, reducing risks and improving operational efficiency.
